The role as a Legal Assistant
CHANEL is looking for a legal assistant to support two executive leaders (Business Ethics and Legal Operations) in the Global Corporate office in London.
You will contribute to Premium Legal @CHANEL and participate in creating a culture of growth, collaboration, and accountability with the aim to innovate and provide excellent support to our internal clients. Our ambition is to facilitate the projects of our internal clients, as a trusted advisor, while preserving the image of the Brand, helping measuring risks.
You will be responsible for managing the day-to-day operations of a team of legal executives, including providing administrative services, general support and ensuring that the global legal team remains well connected and informed.
We are looking for someone with a strong work ethic, a can-do attitude and problem-solving mindset, excellent attention to detail, tech-savvy and someone who is able to work autonomously and capable of prioritising.
Key drivers in Legal Assistant:
Supporting the Chief Compliance Officer and the Head of Legal Operations, in strong collaboration with Global Legal team and the Legal Leadership Team (LLT) the missions are as follows:
1. Administrative responsibilities:
- Administrative tasks including typing, filing, scanning and printing documents, answering calls and assisting with accounting and invoicing.
- Document management, proactively organising folders, naming conventions and archiving into the relevant legal tools, as well as paper folders where appropriate.
- Manage calendars, including organizing meetings and video/conference calls (external and internal), booking rooms in various locations globally.
- Manage the budget preparation and cycle for the legal function assisting the 2 leaders but more broadly supporting the Head of Legal Operations
- Assist with the use and development of collaborative and legal tools.
- Manage and organise travel arrangements and itineraries as well as Travel Expenses reporting and processing of invoices.
- Manage events - coordinating team events and client events (selecting venues/dinners/lunches but also contributing to setting the agenda and invitees).
- Correspond with legal team members based in various countries.
- Network with internal stakeholders and build valuable relationships.
- Project management, being able to manage various deliverables including multiple stakeholders as well as prioritise effectively.
2. Legal support responsibilities:
- Assist in drafting and read-proofing legal documents, policies, procedures and letters, using existing templates.
- Help prepare presentations, spreadsheets and reports.
- Organise and manage legal files, documents, and exhibits.
- Assist with additional projects, such as preparation of training materials, roll-out of tools within the Legal function etc.
To succeed in this role, what core skills are required:
- Have excellent written and verbal communication skills in English and, preferably, working knowledge of French.
- Are able to multitask across different assignments and time zones.
- Are able to work well under pressure and to tight deadlines.
- Are a team player.
- Have business acumen and an understanding of the Senior Management’s needs.
- Manage legal documentation and correspondence in strict confidence.
- Have excellent knowledge of Microsoft Office (0365 Word, PowerPoint, Excel, SharePoint, Teams), and are keen to learn the use of new tools

What you will bring:
- A minimum of 5+ years of administrative experience supporting senior executives.
- Bachelor’s degree preferred.
- Experience working in a legal setting preferred.
- Experience working in a law firm preferred.
