Lead Administrator – Families & Welfare
UK Defence Academy

Monday – Friday (0730 – 1600, 1230 finish on a Friday)
£22,145 per annum plus benefits
Serco have an exciting opportunity for an experienced Administrator to join our team based at the Defence Academy in Shrivenham, Swindon. The Lead Administrator will provide effective administrative and secretarial support to the Families and Welfare Office for Shrivenham Station ensuring a high standard of administrative support across the Services Families welfare support area.
Serco at the Defence Academy provides Facilities Management across all aspects of the site including Estates, Logistics, various Supporting Services, together with Cleaning, Catering and Waste Management through ESS.
**
*Main responsibilities of the role include:*
- Carry out reception duties and act as a focal point for all visitors to the Families and Welfare Office and Jubilee Centre, dealing with enquiries, questions and maintaining an electronic diary for all bookings.
- Provide Administrative and Secretarial support for the Station Welfare Officer and the Welfare Warrant Officer.
- Arrange/assist with office functions, coffee mornings and events including annual and ad hoc Meet and Greet events, representing the Families and Welfare Dept. (Some require attendance outside of normal working hours; however, notice will be given).
- To assist with the movement of furniture and welfare stores, within the JCC, to include but not limited to the setting up and clearing down of groups, classes, and activities.
- The creation and processing of licensing forms for hire of the JCC and Beckett Pavilion for activities and private functions, reporting to, and liaising with, the Site Estates Representative and Service Finance Office.
- The authorisation and issuing of keys for access to both the JCC and Beckett Pavilion for out of hours events and maintenance.
- Daily and ad hoc cleaning of the centres soft play areas and the coffee shop/community rooms (when hired for a weekend party).
- Keep up to date with world news, have an awareness of cultural differences.
- Cover in the absence of the Families and Welfare Spec Co-Ordinator, to include but not limited to facilitating bookings, processing of payments, ordering supplies and prepping/checking of welfare houses.

*What you need to do the job:*
- GCSE’s (A-C) or equivalent in English and Maths.
- Able to use a variety of communication methods (spoken, written, behaviour).
- Previous experience in a Welfare / Customer Service facing role.
- Previous administration and/or secretarial experience.
- Ability to demonstrate electronic calendar management.
- Must be methodical, have proven organisational skills and able to work under pressure.
- Problem solving skills are a must in this role.
- Excellent customer service skills.
- It is essential that the successful candidate is PC literate, with a good level of experience in MS Office including Outlook, Word, Excel.
- You will have to gain enhanced clearance within the first 3 months of employment. Serco will arrange this on your behalf.
