We are looking for a real estate law clerk to join our team. Reporting to the In-house counsel and providing support to our accounting team, the law clerk will be responsible for preparing legal documents, communicating with tenants and managing matters from start to finish.

- Production of month end receivable balances for all buildings and delivery to In-house counsel for review and distribution.
- Analysis of outstanding notices of termination for applications to the Landlord & Tenant Board (LTB), assist with preparation for filing of L1 applications at the LTB Portal site, completion of certificates of service for notices of termination, preparation of tenant letters acknowledging an application has been commenced, completion of certificates of service.
- Analysis of aging reports and tenant files for decisions on issuance of notices of termination at residential buildings, production of notices of termination and delivery of notices to the property managers for service on tenants, monitoring for return of service sheets of notices of termination.
- Updating filing system based on fresh applications to the LTB, issuance of notices of termination and results of previous month’s receivables meeting.
- Preparation of proceedings reports for third party owners.
- Preparation of mid-month receivables balances at all buildings.
- Monitoring of files with hearings in the month at the LTB for payment, preparation of files for hearings at the LTB for non-payment of rent including analysis of arrears, liaison with property managers and building managers, preparation of materials for hearings, communicating with tenants on payment plans to eliminate arrears prior to and post hearings, attendance at hearings.
- Attendance at receivables meetings for residential buildings with in-house counsel and property managers and taking instructions for evictions, preparation of L4 applications, and miscellaneous work arising from receivables meetings.
- Preparation of materials for evictions, monitoring for return calls from sheriff’s office, monitoring for payment through property managers and building managers, advising of eviction times, working on collection of arrears as required.
- Preparation of notices of termination for NSF cheques, and preparation of miscellaneous termination notices as required by property managers.
- Maintenance of online filing system for notices of termination and applications at the LTB, including periodic review of applications for status – ie tenant has moved, orders have not been received, etc.
- Liaising with the accounting department to ensure LTB fees are charged to tenant accounts, and checking to ensure ledgers are updated.
Duties that are not Part of Regular Monthly Protocols:
- Analysis of non arrears related tenant matters, including claims of interference, and other breach of lease terms, assisting in preparing N5 and N8 notices, and subsequent L2 applications at the LTB.
- Assist in-house counsel with training new employees on legal practices.
- Assist with preparation of Above Guideline Rent Increase applications.
- Assisting property managers and In-house counsel as required on miscellaneous tasks.
Qualifications
Education/Experience:
- Law Clerk, Paralegal or Legal Assistant Diploma; preferably with P1 License
- Minimum of two years experience in Residential Property Management
- Experience working with collections and processes
Skills/Abilities:
- Ability to work independently and as part of a team and take initiative
- Strong communication and interpersonal skills
- Excellent organizational and time management skills
- Excellent proofreading skills, work ethic and attention to detail
- Ability to maintain a high level of confidentiality when interfacing with tenants
- Strong technical skills in Microsoft Office applications and Yardi
