The successful candidate will have the opportunity to work with, and learn from, experienced lawyers and administrative staff. The successful candidate will be responsible for assisting one of the firms Partners practicing in the areas of family law, civil litigation, Wills and Powers of Attorney and estate planning.
Our firm is seeking a legal assistant to work with one of our lawyers. The ideal candidate will be responsible for:
· Providing general administrative assistance such as managing the lawyer’s calendar, opening and closing files and arranging meetings.
· Managing, organizing and maintaining an up-to-date (electronic and paper) files system of client files.
· Communicating with clients to schedule meetings, advise of court dates, keep the client update, and obtain information.
· Scheduling court dates and meetings for the lawyer.
· Preparing organizing and assembling litigation and court documents including Applications, Answers, Applications for Divorce, Notices of Motion, Affidavit’s Factums and Books of Authority.
· Preparing Wills and Powers of Attorney, attending meetings with the lawyer to execute Wills and Powers of Attorney with clients.
· Preparing Estate Administration documents using Estate-a-base.
· Filing court materials through the online portal and uploading documents to Caselines.
· Drafting and proofreading correspondence according to precedents and/or instructions including letters, emails and court forms.
· Docketing time.
· Communicating with opposing counsel other parties, and judicial administrative staff.
· Providing administrative support with the coordination of billings, processing expenses and payments of invoices following the firm’s accounting policies and standards.
· Providing back up assistance to other lawyers, law clerks and legal assistants in the absence of other when needed.
· Other duties as assigned.
Requirements/Qualifications
· Post secondary education in legal assistant or law clerk or equivalent
· 1-5 years experience required
· Advanced proficiency using Microsoft Word, PCLaw, DivorceMate, WordPerfect, and Estate-a-base.
· Proven ability to prioritize workloads and manage deadlines.
· Excellent organization skills, self-motivated an able to manage multiple tasks.
· Ability to maintain professionalism and confidentiality.
· Strong communication skills (both verbal and written) including the ability to effectively interact with clients and all firm members in a demanding environment.
· Ability to work in a team environment.
Job Type: Full-time Permanent
Salary: Between $40,000.00 - $68,000.00 dependent on experience.
