Position Summary
The Systems Specialist serves as a functional liaison for the Office of Residence Life’s technical and business processes with Information Technology Services and other third-party software vendors, reporting to the Occupancy Manager. In conjunction with the Occupancy Manager and Associate Director of Residence Life, this position is responsible for designing, implementing, enhancing, and maintaining administrative systems and software related to all ResLife functions.
This position will provide needs/technical analysis and make recommendations to Residence Life. This position will coordinate and facilitate the development of business and technical requirements with the ITS department and enhance university and office business processes through the utilization of various software tools.

Position Duties:
Starrez Management 70%
  • Serve as the functional lead for StarRez, including management of daily operations and large-scale functions of the StarRez system.
  • Support UWL relationship with StarRez vendor and serve as campus contact.
  • Liaison between Information Technology Services and the Office of Residence Life for all things related to occupancy management, primarily StarRez and CBORD systems, to ensure proper overlap of procedures within the database systems.
  • Manage new software implementations connected to StarRez and compatible programs.
  • Manage and code information and policy updates in StarRez
  • Lead StarRez records testing, software updates, advised testing and deployment.
  • Provide StarRez user training to approved users.
  • Coordinate system customization requests and upgrades
  • Maintain the integrity of StarRez records data through query generation/review
  • Work with department users in daily operations to troubleshoot and resolve problems and communicate issues with stakeholders related to StarRez. Develop processes/procedures for troubleshooting, recovering, adjusting, and modifying business systems. Provide support to minimize interruptions in the ability to carry out critical business activities.
  • Research and solve StarRez problems, working with ITS as appropriate for modifications to the software; investigate software upgrade options and evaluate functionality enhancement for adoption.
  • Collaborate with the Occupancy Manager to resolve issues and problems with third-party software vendors and resulting file uploads or downloads. Interact with IT staff and contact vendors as necessary.
  • Create and maintain ad hoc and scheduled reports and queries in StarRez, to meet the needs of the Residence Life operations. Coordinate report runs with ITS staff to minimize system disruption.
  • Assist with StarRez advised testing and deployment.
  • Assist with StarRez user training to approved users.
  • Oversee StarRez interface with CBORD (Student ID and card access database) and trouble residence hall card access issues.
  • Understand the ever-changing application interface specifications of how the offices of Student Records, Student Financials, and Admissions impact Residence Life.
  • Responsible for consultation with Enterprise Application Support staff from Information Technology Services related to StarRez projects, enhancements, or work tickets.
  • Facilitates security change tickets, audits user groups, and communicates with other Residence Life constituents
  • Depending on the nature of the ticket, either lead or support communication with StarRez. Consistently included in all tickets. Provides test cases for StarRez support or conducts reporting/testing to confirm if issues are resolved. Participates in meetings with StarRez representatives.
  • Troubleshoots any minor issues between StarRez and CBORD due to booking date issues. Primary on review of any billing questions related to charges posted on student accounts.
  • Manage StarRez security access; conduct regular audits.


Support of Room Assignments and Applications Duties 20%
  • Assist the Occupancy Manager and the Associate Director for Operations with daily tasks related to the housing applications and room assignments processes.
  • Assist with StarRez room assignments and room change processes.
  • Assist students and staff with questions about housing applications and room assignments.
  • Review daily housing deposits and charges to ensure proration and charge amounts accuracy. Identifying any issues with incorrectly processed check-out dates and back-dated check-outs.
  • Assist with Housing Application pathways design and content updates. Daily monitoring of applications that are incomplete and completed.
  • Monitor and reconcile application deposit and cancellation process for the academic school year – fall, winter, spring, and summer sessions for all incoming and returning students.
  • Respond to emails and phone calls relating to room assignment program and contact information.
  • Daily troubleshooting of roommate group process end-user issues. Updating roommate group settings for different launches throughout the year, inclusive of GIH and LLC profile settings and group sizes, ensure that roommate group messaging and matching functions operate correctly
  • Updating data subscription email templates. Scheduling start/stop times for specific data subscription types. Management of room change tentative booking data subscription template and settings.
  • Respond to emails and phone calls relating to room assignment program and contact information.
  • Work with Residence Life staff in generating appropriate StarRez rosters as needed.
  • Communicate directly with hall directors regarding hall occupancy, late assignments, withdrawals, room changes, billings, and other required residence hall data. Establish effective relationships with hall professionals and student staff.
  • Act on information received regarding students’ ineligibility to return to school each semester. Communicate with these students regarding the move-out process and any ongoing appeals process.
  • Check and follow up on official university withdrawal lists.
  • Provide student employment/residency verification to potential employers, landlords, and/or government officials for clearance purposes. – Access the WINGS database to review and interpret basic student information.
  • Enter student staff into WINGS for grade review. Keep an accurate EXCEL document list of student staff for reporting and billing.
  • Assist the Occupancy Manager with the management of student housing accommodations approved by the Student ACCESS Center (emotional support animals, facility accommodations, etc.).
  • Assist with monitoring daily housing billing adjustments generated by StarRez to ensure accuracy.
  • Design, implement, and communicate the following:
  • manage the student room change process
  • early arrival process for new and returning students.
  • winter break process for new and returning students.
Departmental Operations 10%
  • Assist with representation at campus resource fairs and orientation days in order to answer questions and provide information about campus housing.
  • Provide guidance and support to the front office staff regarding residence life processes and Star Rez functionality.
  • Assist with the training and serve as backup to office student staff.
  • Work collaboratively with the operations team to create an environment of excellent customer service and operational efficiency.
  • Other duties, as assigned by the Associate Director of Operations, to assist with housing and business operations within the department.

Required Qualifications
  • Bachelor’s degree from an accredited institution of higher education.
  • Ability to coordinate projects, learn systems quickly, work independently, and to independently set priorities to meet the demand of this position guided by supervisor.
  • High level of comfort with IT systems knowledge and ability to learn systems quickly.

Preferred Qualifications
  • Master’s degree from an accredited institution of higher education.
  • Previous experience working in residence life and/or housing operations.
  • Knowledge and experience working with data systems and IT operations.
