We are seeking a IT Procurement Specialist to help build and grow our newly formed Vendor Management function, based in our head office in London. We are looking for someone who is self-motivated and precise, with an analytical mind, bright, proactive, able to work well independently and as part of a team.

The role will initially focus on designing processes and reports to better support the business in tracking supplier spend and ensuring adequate controls are in place when onboarding new vendors. There will be a strong collaborative element to the role as there will be interactions across many parts of the business.

What you will do:

  • Support all groups with Sourcing requests
  • Coordinate Supplier due diligence and preliminary analysis with Compliance, Legal and IT Security and other business units
  • Ensure vendor onboarding processes are followed and look at ways for continuous improvement.
  • Assist IT & Product Strategy Heads to resolve any 3rd Party related supplier audit points raised by internal or external audit.
  • Create and maintain management reporting in relation to critical suppliers (Compliance, Performance and Risk)
  • Create documentation to improve visibility of Vendor products to ensure better utilisation and understanding across the business
  • Collate and maintain training material and organise internal training of new vendor technologies with relevant teams
  • Assist with contract change and termination as well as periodic, self governed audits.
  • Create contract performance analytics to help with contract renewals and other key contract milestones
  • Work with Internal contract owners/sponsors with Business Continuity Planning on Critical contracts.
  • Assist IT and Compliance with designing and implementing 3rd Party risk management policy.
  • Assist with identification and escalation of risks.
  • Purchasing and further providing employees with needed personal equipment, assisting with replacements and installation in cooperation with IT-department
  • Replacements arranging in cases of breakdowns; guarantee maintenance support;
  • Negotiations with suppliers about prices, delivery terms and all issues in document flow;
  • Cooperation with HR managers concerning employees requirements.
  • Providing accountants with valid information about employee's equipment and documents; collaboration during purchasing processes.
  • Support and keep the database of information about all equipment to display their actual status.

Requirements:

  • Knowledge and awareness of business organisations, especially Fintech
  • Experience with SAAS products
  • Experience with contract negotiations
  • Experience in representing company, this could be from dealing with clients and other counterparties in a previous role
  • Experience with budgeting and forecasting analysis
  • Gained experience in Operations and/or Administrative positions, ideally in Fintech
  • Problem-solving and analytical ability
  • Ability to lead complex projects and initiatives
  • Experience in working with Contracts and supporting the creation of new processes
  • Well organised and comfortable working to strict deadlines
  • Proficient in using Excel and Powerpoint.
