Job description
We are looking to hire an IT administrator in our Guildford office to provide proactive and efficient administrative support to the IT team with particular focus on IT procurement.
Responsibilities:
- Process IT Purchase Order (PO) requests for the UK, US and Bermuda in the finance system, acting as the validation point for accurate coding against the IT budget and supporting quick and efficient approval
- Receipt invoices against approved POs ensuring invoices are approved and payment terms are met
- Troubleshoot issues that arise with the PO/invoice process and offer workable solutions
- Place IT hardware orders
- Manage shared IT Administration mailbox
- Process IT credit card expenses
- Coordinate new supplier set up in SupplierBase
- Conduct bank detail validation exercise with new suppliers
- Manage IT contractor onboarding and extension process making sure the IT staff list and contractor register are current at all times and that all contractual documentation and approvals are in place upon contractor start date
- Contribute to team reporting including quarterly and year-end Coda housekeeping reports and the year-end action plan
Experience:
- Competent in the use of Microsoft Office (especially Outlook and intermediate level Excel)
- Experience of supporting a large team in an international company
- Highly organised to handle a variety of tasks at once, each with equal priority, in a busy environment
- Confident and personable character. Must be able to build rapport with colleagues and comfortable in both face to face and remote working situations.
