The post holder will be vital to the smooth running of the team and be an experienced administrator responsible for providing a high level of leadership and administrative support to the financial processes within the Women’s Health service, as well as supervision and management to their direct reports within the fertility department.
It is expected that the post holder provides a high standard of administrative management to the Fertility Service, ensuring that income and accounting processes are in place for the fee-paying work carried out within the department. That this is fully captured in line with reporting deadlines and financial regulations. That all members of the team are aware of the established processes and there are surveillance systems in place to monitor activity levels and income. Within the Maternity service the post holder will oversee the income collection and reporting processes for the amenity rooms in conjunction with the maternity lead administrator / Service Manager and the wider ward team.
You will be required to work closely with the Clinical and Administrative Teams to manage departmental data collection for the reporting of income and activity performance. within Fertility the post holder will lead on producing the ( Human Fertilisation and Embryology Authority) HFEA & IDEAS/PRISM reports. Presenting information and highlighting any areas of concern, while working with the Service Manager and relevant team to carry out corrective actions.
- To manage daily the income and expenditure processes for the fertility service ensuring all financial deadlines and policies are followed.
- Have overview of the fertility and Maternity amenity room activity logbooks, working collaboratively to ensure accurate record keeping for each patient event.
- In conjunction with the Service Manager manage and be responsible for the activity & finance data collations and the production of reports ensuring quality frameworks and deadlines are met
- To ensure that all correspondence, reports, invoicing and preparation for clinics relating to fee paying patients is accurate and produced within agreed time frames.
- In conjunction with the Service Manager and Team Leads, manage regular reports on data quality, HFEA & PRISM submissions.
- To establish, review and validate monthly reports ensuring compliance with Trust quality & financial reporting standards.
- Identify and implement ways of improving systems and processes within the service.
- To supervise and or line manage staff as directed, carrying out one to one meetings, team meetings, overseeing and managing work performance, sickness performance PDRs etc
- In conjunction with the Service Manager plan and co-ordinate administrative activities within the fertility service
