Role Description
Job Purpose
- To receive and control import documentation necessary to facilitate clearance procedures through the relevant authorities.
- Accountable for processing of company import documentation as required.
- External contact with clearing agents, shipping lines and suppliers as necessary.

- Run Shipments in transit report on a daily basis and view/monitor reports daily to identify new shipments. Use report as a prompt to identify shipments at port within five days where documentation received requires processing, Update SAP for shipment status where vessels have arrived etc. including amendment to container numbers, ETA’s and vessel details.
- Liaison with shipping lines, shipping line websites, Port websites and forwarding agents to verify accuracy of ETA’s on shipments in transit report and amend as required
- Receive and record all import documentation. Check and verify accuracy of documentation supplied (e.g. Invoice, preference certs, health certs and bills of lading) against SAP shipments in transit and incoterms. Chase supplier/buying/accounts for any missing or replacement documentation required
- Recording shipment detail onto Excel spreadsheet by sequential referencing system and forwarding applicable documentation to agents/carriers and port health authorities
- Compilation of insurance declaration schedules per import consignment for uninsured shipments calculating insurance premiums due
- View total shipments in transit report to identify those consignments at port or within 3 days of UK arrival whereby necessary documents or correct documents have not yet been received. Contact the supplier to chase the whereabouts and advise agents and internal personnel as required. Ensure all documentation is presented to port authorities within required legislation periods required eg catch certs for fish have to be presented to the port authorities 3 days prior to the arrival of the vessel.
- Escalate any issues to the Trade compliance coordinator/Trade compliance manager as appropriate
- Assist the Trade Compliance Coordinator with other duties in line with the scope of the role as required
Role Requirements
- Previous experience of shipping/international trade or freight forwarding
- Knowledge of regulatory requirements relating to the import process
- Ability to prioritise own workload and work to strict deadlines
- Ability to establish strong relationships with supply chain partners etc.
- Customer service principles
- Strong communication skills – verbal and written
- Microsoft Applications knowledge, Previous knowledge of SAP desirable
- A strong focus on attention to detail.
