Alliance Psychological Services is an independent provider of counselling and psychological therapy services based in the Tees Valley area and working across the North-East region. We are working in partnership with Middlesbrough & Stockton Mind to deliver the IMPACT on Teesside service.

HR OFFICER - FULL TIME

£30,000 - £32,000 per annum pro rata to hours worked

We are looking for a Human Resources Officer to join our HR Team. The post holder will support the HR Lead, to ensure the HR Team are meeting the needs of the growing organisation. They will assist in ensuring processes run smoothly and consistently, advising, and supporting Managers on processes and supporting staff across the organisation.

Main duties of the job

The HR Officer will also deliver low level HR advice within their area of responsibility and take a lead on the Induction of new starters. They will support and develop staff retention initiatives in line with Alliances culture including promoting Health and Wellbeing initiatives for staff.

The HR Officer will also deliver a consistently high-quality standard of work across a varied range of tasks set out in the job description, with direction and support from the HR Lead.

The ideal candidate will take a fair and consistent approach to their work and offer support to staff and be a proactive member of the wider team.

You should hold CIPD Level 5 qualification and have a good understanding and experience of working with database systems. Computer literacy is essential as you will be expected to develop and maintain information on our HR system.

You must have full right to work in the UK as we are currently unable to offer working visa opportunities.

Job responsibilities

Main Responsibilities

  • First point of contact for HR queries from employees around organisational processes, for example sickness, authorised absences, recruitment queries, DBS coordination etc ensuring matters are dealt with to a high standard and in a timely manner.
  • Develop and maintain the HR System, analysing data, ensuring data integrity, and running queries and escalating issues as required to the HR Lead
  • Take a lead on the induction of all new starters into the organisation, under the direction of the HR Lead, conducting induction meetings with new employees and liaise with Line Managers to ensure they are aware of their responsibility in the induction process.
  • Support the HR Lead overseeing aspects of the employee lifecycle including new starter induction processes, exit interview survey analysis, coordination and, training & development and annual pay review processes with direction from HR Lead.
  • Administering associated paperwork for new starters, leavers, and employment changes throughout the year, including drafting contracts/offer letters and calculating holiday/lieu accrual
  • To take a lead on Alliances Health and Wellbeing group with staff to look at promotion of staff health and wellbeing, working within the supportive environment Alliance maintains as an organisation.
  • Take the lead under the HR Leads direction in the administration and development of employee initiatives within Alliance including staff recognition schemes, to support Alliances culture and staff retention strategy.
  • Collate as required NHS and other statutory returns for Alliances commissioned services.
  • Support the HR Lead, to develop, establish, and report key HR metrics and reports for Directors and Management Team
  • Assist the HR Lead in completing policy reviews each month as needed and researching and producing any new policies needed for the organisation
  • Ensure all employee files, both paper and electronic, are maintained to a high standard.
  • Support the HR Lead during the annual performance management process in collating review scores, paperwork etc and reviewing and reporting back to the organisation for training plans.
  • To coordinate and assist in staff meetings around policies and processes for maternity, paternity, shared parental leave and flexible working requests with support from the HR Lead.
  • To carry out first level sickness reviews with staff across the organisation with support and direction from the HR Lead.
  • Reporting on sickness absence and holiday use throughout the year, flagging any concerns as appropriate
  • Deliver first level HR advice to Managers and employees with direction from the HR Lead.
  • Support and coordinate recruitment campaigns ensuring they are progressed without delay and in line with best practice, company values and employment law under the HR Lead direction and support
  • Accurately prepare Alliances payroll to ensure output is correct before submitted to finance team with HR Lead direction.
  • Proactively work to improve HR processes and systems in line with best practice with HR Lead.
  • To support the HR Lead in maintaining and improving on organisational standards like our Silver IIP accreditation.
  • To oversee the HR Administrator role to ensure the training process runs efficiently and smoothly within Alliance and IMPACT
  • Take minutes in HR related meetings for Alliance as required.
  • Any other duties that may be required to facilitate the smooth and efficient running of the HR functions of the service.
  • To operate within agreed NHS, Alliance and professional guidelines, policies and procedures and Codes of Practice.
  • To ensure a safe and secure working environment for self and others and to act as necessary within Health and Safety and other guidelines.
  • To promote and value the rights, responsibilities and diversity of people using the Service.
  • To undertake all mandatory training appropriate to their role.

  • Level 5 CIPD

Experience

Essential

  • Sound experience and understanding of database systems.
  • Excellent telephone and verbal communication skills
  • Experience of maintaining and developing filing systems and spreadsheets
  • Working to targets and/or quality standards to ensure accuracy.
  • Previous experience working at the level of HR Officer within HR dealing with aspects such as sickness, recruitment, training, health and wellbeing and retention initiatives

Desirable

  • Experience of working in the NHS or wider Health & Social Care sector.
  • Understanding of mental health services and the sectors workforce.
  • Experience of Cezanne HR System
