JOB SUMMARY:
The HR Specialist administers new hire onboarding, maintains employee files, data entry for job changes, promotions, and conducts verifications of employment. This position is also responsible for creating semi-monthly personnel reports for reporting agencies.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
The qualifications and skills required for this position include:
- Associate’s degree from an accredited institution in Human Resources OR a combination of education with a minimum of two (2) years of proven work experience in a Human Resources Department;
- Proven knowledge and a broad understanding of Human Resource functionalities;
- Previous Human Resources Information System (HRIS) experience;
- Proficient with Microsoft Office Suite and Windows based applications, with specific expertise and knowledge in Microsoft Office Excel;
- Ability to communicate (verbal and written), interact, and work effectively and cooperatively with all people and embrace cultural diversity;
- Possess skill requirements including excellent mathematics and clerical abilities;
- Excellent organization and time management skills;
- Ability to pay close attention to detail;
- Ability to manage multiple priorities and tasks with frequent interruptions;
- Ability to work independently and with others in a team environment;
- Ability to maintain a high level of confidentiality in all aspects of the position;
- Strong organizational, analytical, critical thinking, and interpersonal skills;
- The following is preferred: Prior experience in higher education;
Detailed knowledge of Workday HCM functionalities;
Bi-lingual in Spanish;
SPECIFIC DUTIES AND RESPONSIBILITIES:
The specific duties and responsibilities for this position include, but are not limited to:
- Completing Onboarding for new full time and part time employees to ensure all necessary employment forms and appropriate documentation is submitted;
- Verifying employees provide identity and proper work authorization including the submission of applicant information to USCIS through E-Verify;
- Contacting the appropriate administrator to request necessary transactions are initiated and/or approved in Workday;
- Initiating hires, additional jobs, job changes, compensation changes, non-instructional Period Activity Pay, and terminations in Workday as requested;
- Reviewing, validating, and updating employee demographic data in the Human Resources Information System (Workday) as necessary;
- Collaborating with Institutional Technology and Enterprise Systems to ensure employees gain access to the network and associated systems as needed to function in their assigned positions;
- Verifying semi-monthly payroll processing related to full time, part time, and adjunct staff, with interaction as required directly with the Payroll Department regarding questions and/or problem resolution;
- Maintaining the institution-wide Access Management System through key access card issuance to all authorized full-time and part-time employees, retirees, and vendors as well as completing associated Workday data entry and system updates;
- Developing, analyzing, and maintaining all key access Excel matrices for all employees as actively assigned per campus and per building;
- Entering key issuance and retrieval data into Excel spreadsheets to ensure the key access matrices contain accurate and current data;
- Scanning key access acknowledgement forms signed by employees and saving them to the appropriate designated file folder in Microsoft Office;
- Taking individual’s photos, and creating employee ID badges/keyless entry during the onboarding process;
- Issuing new and replacement parking decals to active employees and completing the necessary data entry into the ACCESS Parking Decals system;
- Assisting the Director of Human Resources in the preparation of the Personnel Action packet for monthly District Board of Trustees meetings;
- Completing verification of employment requests;
- Verifying employee information (employee name, titles, credentials, etc.) for the Strategic Marketing department;
- Analyzing, maintaining, and reconciling semi-monthly “2080 Hour Reports” to ensure compliance with the Florida Retirement System and resolving related issues that may occur;
- Analyzing, maintaining, and reconciling “FICA Student Enrollment Reports” to ensure compliance with the Internal Revenue Service and resolving related issues that may occur;
- Submitting the “New Hire Report” for the Department of Labor and generating the “IRSC Employee Count” for internal use;
- Reviewing the Workday Pending Business Processes report every morning to ensure pending transactions complete in a timely manner;
- Participating in the semi-annual and weekly enhancements, testing, and maintenance of the Workday HCM functionalities;
- Creating and maintaining Workday Job Aids for HCM functionalities;
- Creating and updating personnel files for all full-time and part-time employees;
- Overseeing the personnel file room to ensure all personnel records are maintained securely and confidentially;
- Pulling personnel files for employees who have separated employment and maintain in the Terminated file drawer for one year before moving to storage facility;
- Pulling personnel files for employees who have been terminated through a batch job and move to storage facility once a batch job termination box is full;
- Troubleshooting Workday issues for current and prospective employees;
- Assisting the Federal Work Study Coordinator with maintaining federal rules and regulations with regards to staffing transactions;
- Completing Offboarding with employees who are separating from the college to ensure all college property (keys, laptops, chargers, etc…) is collected prior to last day of employment;
- Ensuring no access to personal health information (PHI) unless specifically authorized by the Vice President of Human Resources;
- Completing other duties and responsibilities as assigned by the Director of Human Resources and/or Vice President of Human Resources;
Job Type: Full-time
Pay: $39,389.28 - $51,206.07 per year
