HR Shared Services Administrator

Location: Remote

Let’s tell you about the Role.

Employee Administration

  • Administration of all change notifications/forms, change of contract letters in a timely manner.
  • Administration of all sickness/return to work, reference requests, leavers administration and maternity/paternity leave, and other administration in line with the HR Shared Services processes.
  • Liaise with payroll, where required, to ensure effective and timely sharing of information.

Record Keeping

  • Create, maintain and store electronic HR records and ensure all files are kept up to date.
  • Manage archiving and retrieval of old records in line with the Data protection Act 1998 to safeguard the confidentiality of all personal information.

Background Checks

  • Produce and distribute monthly reports to alert managers of employees whose DBS or UK Eligibility documentation are due to expire. Support managers through the provision of communication structures to achieve full compliance with DBS and UK Eligibility requirements.
  • Track DBS’s and ensure that they are renewed within the 3-year period, where applicable.
  • Liaise with and provide support, instruction and basic level advice to managers on the implementation of HR processes and practices.

Let’s Hear About You.

  • Experience of working in an administrative role essential.
  • Experience of working in a HR specific administrative role, is desirable.
  • A minimum of 1 years’ experience within an administrative role, providing a high level of customer service.
  • Experience of working in large scale, fast moving, multi-site organisations, is desirable.
  • Experience in using MS Office (Excel, Word, Outlook)
