Responsible to: HR Office Manager
Location: Senior School and Sixth Form, Cambridge - with the requirement to work at all sites as and when required.
Role Description:
To provide an efficient HR and recruitment service that enables a timely and accurate HR administration provision to all staff across the Foundation.
The main purpose of your role will be to:
· Act as a first point of contact for all customers to the HR department (face to face, telephone and email).
· Adopting a ‘right first time’ approach to all communications ensuring accuracy in the information given and to ensure accurate HR records for all employees.
· Assist the team in an array of areas such as recruitment, learning and development and ad hoc project work.
· Support the Head of HR in ensuring 100% compliance with the Foundation’s safer recruitment policies and procedures across all recruitment processes and 100% accurate record keeping of the single central register.
· Promote a culture of positive HR by building and maintaining solid working relationships with all Foundation colleagues.
Key Responsibilities:
_Administration-
_Carry out general administration tasks for the HR department including:
· Monitor and respond to emails in the HR, recruitment and absence inbox.
· Regularly update the single central register for staff, contractors, agency and other relevant personnel.
· Produce personnel related reports from HR Pro and/or iSAMS (e.g., daily absence) and share with relevant members of SLT.
· Advise managers and Foundation colleagues on HR related queries, such as family leave entitlements, absence, flexible working requests and professional discussions, providing best practice guidance and in line with Foundation policies.
· Ensure the HR Pro and iSAMS database accurately reflects employee data and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other absence.
· Produce communications to staff in writing when required (e.g., family leave entitlements, resignation acknowledgements).
· Order and distribute gifts as required (e.g., flowers, gift cards).
· Organise and coordinate our annual staff flu vaccinations.
Recruitment and Selection –
Under the direction of the Recruitment Coordinator:
· Liaise with hiring managers where a vacancy has been identified and process the job description through to a live vacancy and advertise on all relevant recruitment platforms keeping hiring managers up to date with the progress of their vacancy.
· Provide hiring managers with access to all relevant information needed prior to interviewing, assist in inviting shortlisted candidates to interview and take part in safer recruitment interviews where necessary.
· Ensure that the correct notification emails are sent to candidates.
· Prepare and send the offer documents and gather all relevant pre-employment checks, updating the single central register as checks are completed.
· Keep accurate candidate files and training records, in particular all completed iHasco training modules entered onto employee HR Pro and iSAMS records.
· Work alongside relevant colleagues to organise and deliver induction days for new staff.
· Ensure that the recruitment drive is kept up to date in line with the Foundation’s Information and Records Retention Policy.
Learning and Development -
· Support the administration of staff development which includes booking courses, liaising with providers, raising purchase order numbers, arranging in house training-courses and logging CPD on the database.
· Update staff training records in HR Pro and iSAMS, and assist with the Foundation’s annual appraisal cycle, recording completed appraisals and training needs.
Wellbeing -
· Update the Foundation’s Wellbeing Hub ensuring the information on there is relevant and appropriate.
General Responsibilities
· Act as an excellent ambassador for the Foundation at all times.
· Build and maintain good working relationships with all Foundation colleagues.
· Assist as necessary in other Foundation areas at peak times.
· Work at all times towards the aims and goals of the Foundation and any individual objectives and targets you may have agreed.
· Proactively identify areas for improvements within the Foundation.
· Actively promote the Foundation’s Equal Opportunities Policy, encouraging staff awareness and participation in all areas.
· Act in accordance with the Data Protection principles at all times.
· Adhere at all times to Foundation operational and employment policies and procedures.
· Take care of your own health and safety and that of people who may be affected by what you do (or do not do).
· Cooperate with others on health and safety, and not interfere with, or misuse, anything provided for your health, safety or welfare.
· Follow the training you have received when using any work items the Foundation has provided.
· Adhere to the Foundation’s Privacy Notice and ensure private and confidential data is kept secure and disposed of in the appropriate manner.

Safeguarding and welfare of children
The post holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact, will be to adhere to and ensure compliance with the Foundation’s Safeguarding and Child Protection Policy statement at all times. If, in the course of carrying out the duties of the post, the role-holder becomes aware of any actual or potential risks to the safety or welfare of children in the School, s/he must report any concerns to the School’s Designated Person or the Foundation’s Designated Safeguarding Lead.
All employees of the Foundation adhere to the Safer Working Practices guidance and all teaching staff are required to adhere to the Teaching Standards which can be found on the government website.
Terms and conditions
All appointments for the Stephen Perse Foundation are subject to satisfactory reference and disclosure and barring service (DBS) checks, suitability to work with children checks, online checks, proof of identity and eligibility to work in the UK, completion of a medical questionnaire and proof of qualifications.
Hours of work
37.5 hours per week, working Monday to Friday from 8.00am - 4.00pm, 52 weeks per year. Flexibility with start and finish times is essential to meet the needs of the post, e.g., interviews, inductions, etc.
