An exciting opportunity has arisen for a Band 3 Receptionist for the HR team based at St Pancras Hospital.
The post holder will provide a professional administration service to the HR Team and have previous experience in an admin/secretarial role with well developed and accurate IT skills, good time management and organisational skills. In addition to having the skills and expertise required for the core requirements of the role, we’re looking for someone who shares our person centred approach, works effectively within a busy team and has excellent communication skills.
The post holder will act as the first point of contact to service users, members of staff and members of the public.
The post holder will provide an effective and efficient secretarial and administrative service within a busy and energetic HR department
The post holder will need to demonstrate a high level of prioritising and organisational skills and be able to use initiative to develop office support systems as required, and to organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers.
The role will include support with DBS renewals, Honorary contracts and references requests for members of staff, as well as responding to general queries via phone, email and post
The job will involve liaison between colleagues at all levels, both inside and outside the Trust, as well as with service users.

- To be the initial contact for members of the public including service users this will include telephone calls or face to face enquiries, provide necessary information within the boundaries of Trust confidentiality policies and pass on enquiries where appropriate.
- To open, date stamp, sort, prioritise, record and distribute incoming/outgoing post, including sensitive information. To manage a bring forward/pending system to enable fast retrieval of documents and follow-up action items from staff.
- To send out key messages to all HR department staff, as requested
- To receive and make telephone calls with staff, senior managers and outside bodies, taking messages and redirecting calls where necessary, including dealing with sensitive information. To send and receive e-mails.
- To establish and manage filing systems including organisation, retrieval and weeding of files and to organise the archiving of files on behalf of the operational HR teams.
