Role Profile: HR/People Assistant

Team: People Team

Reward package: Up to £25,000 fte per annum; 28 days holiday plus bank holidays

Hours: 37.5 hours Mon-Friday

Location: Hybrid working (office is based in Sutton Coldfield)

Role Purpose: To provide an expert, efficient, effective, responsive, and

professional HR administration service to the whole

organisation.

Scope of the Role: To support employees, line managers and senior leaders through the whole employee lifecycle in terms of administration – e.g., recruitment; new starter; changes; payroll; internal comms; learning & development; leavers admin. Responding to queries on the HR inbox; updating the
HRIS system and reporting on data.

Reports to: Clare Fleming – People Director

Direct reports: People Director

Dimensions of the role: Headcount: approx. 100. Working in a small People Team.

Key relationships: People Team; Finance Team; Auriga employees; Auriga line managers; Marketing team; external suppliers (e.g., EAP;
Occupational Health; Online training provider; HRIS).

Duties will include but are not limited to:

Recruitment

  • Provides administration support for all recruitment and selection campaigns.
  • Provides metrics for all recruitment and selection campaigns (e.g., cost to recruit; time taken to recruit; effectiveness of recruitment campaign).
  • Ensures role profiles are kept up to date and stored in a central accessible location.

New starter administration

  • Writes offer letters, contracts, and completes all new starter documentation (e.g., Right to

Work checks; DBS checks if required; reference requests etc.) in a timely way ensuring accuracy and compliance with employment law.

On-boarding/Induction/Probationary reviews

  • Co-ordinates the onboarding and induction process – ensuring new staff are warmly welcomed and have everything they need when they start with our organisation – working closely with the line managers and other key stakeholders to provide a timetable and checklist to ensure a smooth start to working at Auriga.
  • Follows up on the probationary reviews to ensure timely completion by the line managers.

Staff Learning & Development

  • Administers any Learning & Development activity across the organisation. Ensuring records are kept and are up to date.
  • Reports regularly on the statutory training completion rates.

Reward & Recognition

  • Supports the People Team with the administration of pay, reward & recognition schemes.

Wellbeing and workplace

  • Ensures sickness absence is recorded consistently across the organisation and Return to Work forms are completed.
  • Monitors sickness absence trends and levels, highlighting any trends or issues. Reports on absence for the People KPIs.
  • Works collaboratively on any wellbeing initiatives with the Facilities, Marketing and People teams.

Employee correspondence

  • Writes to employees regarding any variations to contract or when any other written correspondence is required (e.g., pay awards; special leave; maternity leave etc.) in line with employment law and Auriga values.
  • Completes any references which come through for leavers.

Employee Relations, Communications and Engagement

  • Supports the People Advisor with ensuring all HR policies are up to date, compliant with employment law, pragmatic, simple to follow, easy to access and communicated regularly.
  • Champions the use of the intranet and teams as a central source of information.
  • Administers the employee surveys/focus groups/pulse surveys as and when required.
  • Acts as note taker in meetings as and when required.

Off-boarding

  • Completes the administration of the leaver process in a timely and effective way and so the leaver remains an ambassador of the company.

People Data, Metrics, and reporting

  • Ensures the data in the HR Information System (HRIS) has integrity and is accurate and up to date and can be reported on at any point in time.
  • Ensures the data stored both in the HRIS and on the drives is compliant with UK GDPR and data protection regulations.
  • Runs reports on the data as required.
  • Champions automation and a paperless approach whilst still maintaining confidentiality, data protection and ease of use.

HR advice and guidance

  • Provides a responsive, organised, and professional response with regards to HR enquiries in the HR inbox and refers issues as required

KEY SKILLS, QUALIFICATIONS AND ATTRIBUTES

  • Level 3 Certificate in People Practice (CIPD) or actively working towards.
  • Previous experience of working within a HR/People or payroll team.
  • An understanding of employment law and best practice HR.
  • Demonstrates ethical and values led practice.
  • Can build and maintain trust and healthy working relationships at all levels of an organisation.
  • Meticulous attention to detail.
  • Super organised and can prioritise effectively.
  • Proficient in using Microsoft office applications (Outlook, Word, Excel, PowerPoint, and

Teams).

  • Skilled at maintaining a database and reporting on data.
  • Can maintain high levels of confidentiality.
  • Can problem solve and make decisions.
  • Has a growth mind-set (embraces challenge; desire to learn; builds abilities; perseveres).
  • Enjoys working as part of a team.
