Job description
Key responsibilities of the role include:
- Work eligibility data entry into our HR system (SAP)
- Monitoring expiry dates, arranging and carrying out follow up Right to Work (RTW) checks where necessary
- Submitting requests to the Employer Checking Service (where applicable)
- Ensuring compliance with our record keeping responsibilities by chasing candidates/employees and colleagues for the relevant documentation
- Monitoring changes to migrant worker circumstances by running daily reports
- Submitting notifications of changes to sponsored worker circumstances through the Home Office SMS system, retaining evidence on file and notifying our external immigration solicitors (where applicable)
- Ad-hoc data cleansing
- Monitor weekly unpaid leave reports to ensure compliance with the limits applied to sponsored workers. Escalate to the HR team where these limits are likely to be exceeded.
- Run regular audits and spot checks on employee files, right to work checks and with the relevant teams
- Manage immigration and sponsored worker inboxes
- Monitor short-term travel into the UK and ensure appropriate RTW has been obtained
- Send regular emails to those on all types of visas to ensure personal details are up to date
- Send regular emails to sponsored workers and their line managers to remind them of their legal obligations
- Approve work eligibility data change requests in HR system
- Assist with the development of immigration guidance documents and templates where necessary
- Support the Right to Work co-ordinator in organising, completing and checking RTW checks during busy periods
Candidate Specification
- Have an interest in immigration and driving governance and compliance
- Strong administrative skills and take pride in delivering repetitive tasks to a high standard
- Excellent written and verbal communication skills
- Good presentation skills
- Excellent organisation and time management skills with the ability to work in a fast-paced environment, manage your own workload and identify ways to improve efficiency
- Excellent attention to detail with the ability to complete tasks accurately when delivering to tight deadlines
- Ability to complete repetitive tasks in an organised and methodical way
- Strong initiative, and capable of making independent judgements where appropriate
- Flexibility and willingness to manage unexpected or complex circumstances
- Proficient knowledge and experience of using Word, Excel, and SharePoint
- The ability to learn new information and IT systems quickly and proficiently
- Knowledge of UK immigration legislation, particularly in the areas of right to work checks and sponsorship obligations (preferable)
- Knowledge of the General Data Protection Regulations (preferable)
