Team Profile
The EMEA HR Employee Solutions (ES) team supports the HR Business Partner function by completing and contributing to a number of operational processes. We execute this by understanding requirements, collaborating with HR stakeholders on processes and policies and working closely with our HR Service Centres.
Role Profile
The specific responsibilities of the role will form an integral part of the ES team, assisting in coordinating all administrative activities surrounding, employee relations, performance management, compensation, people metrics and talent management. The successful candidate will have a good HR foundation and be able to demonstrate the ability or potential to operate across the full range of HR disciplines. The incumbent must be able to work effectively with employees at all levels across the business. This role offers the right candidate an excellent opportunity to develop a broad knowledge of HR processes across all Business areas.
Primary Responsibilities
The purpose of this role is to provide administrative and operational HR support within the ES Team. Tasks include:
Terminations:
Liaise with HR Service Centre (HRSC) in relation to the termination process of employees
Act as a point of escalation for the HRSC where queries arise during the off-boarding process
Employee Relations and Performance Management:
Advise line managers, where appropriate, on Morgan Stanley’s HR policies and procedures
Assist HR Business Partners with disciplinary and grievance cases as necessary, including written correspondence, scheduling meetings/hearings and taking minutes where appropriate
Assist HR Business Partners with redundancies including co-ordinating redundancy projects, conducting redundancy meetings and consulting with employees
Assist HR Business Partners with the monitoring of sickness absence data, following up with BU management/HR colleagues where necessary
Regular communication with the HRSC in respect of any employees on family leave
Deal with ad-hoc family leave queries
Conduct Maternity Leaver and Maternity Return to Work meetings with employees and managers
International Mobility
Obtain costings and approvals for international assignments
Create relocation packages
Flexible Working Arrangements:
Liaise with the HRSC in relation to flexible working applications (FWA), including assisting with any necessary documentation required
Performance Evaluation Process:
Assist with data verification, co-ordinating with HRSC as appropriate
Help to chase outstanding documentation and ensure client is on track to completion and follow up
Produce review packs and assist in co-ordination of divisional promotion meetings (roundtables)
Reporting and Metrics:
Responsible for regular data audits (new hire, compensation, etc.)
Liaise with reporting team for data updates or corrections
Assist in creation of basic ad-hoc / headcount reports
Compensation and Promotion:
Support HR Business Partner teams with the year-end compensation and promotion process
Assist with all monthly audit checks and year-end auditing
Assist with regulatory remuneration processes
Ensure that paperwork and payments are correctly processed for any allowances
Payroll:
Regular liaison with payroll for any monthly compensation changes or requirements, ensuring notification of any changes within cut-off deadline
Processing additional payments, sign-on payments, etc.
General:
Act as the first point of contact for general queries from employees and the Business
Maintain and update the central HR database, Workday, and various other systems, as well as the team’s own process tracking tools
Support HR Business Partners with ad hoc tasks and queries
QUALIFICATIONS
Skills Required
Proven administrative experience either within a Human Resources function or a corporate department.
Strong interpersonal skills and ability to communicate effectively.
Ability to build relationships with managers at all levels.
Methodical, rational and logical approach to problem solving.
Excellent attention to detail.
Compensation/data experience or aptitude; strong numerical skills.
Strong Excel skills.
Ability to multi-task and manage time effectively.
Willingness to seek and identify alternative solutions when faced with an obstacle.
