Job description
Responsible for processing Form I-9 reverifications and employment authorization document (EAD) renewals. Assists more senior team members with the administration of renewal dates for Employee Labor Law Posters and day-to-day operations of department. Prepares, files, and scans employee documents to both paper and electronic files in compliance with legal record-keeping and retention requirements and Bank OZK policy.
Essential Job Functions:
- Administer I-9 reverifications, obtain new/updated documentation, and maintain complete and accurate document management to ensure compliance.
- Monitor and track EAD renewals by notifying affected employees, collecting EAD renewals, and maintaining tracking spreadsheet.
- Assist in providing or creating necessary templates and documents needed for immigration and international travel.
- Assist in ensuring compliance with Employee Labor Law Poster requirements by reviewing, contacting, and tracking locations that require updates.
- File and maintain personnel files and other department files in compliance with retention requirements per policy and law.
- Extract sensitive/confidential documents from personnel files, removes staples, and repair tears and/or holes, and assist with response to FOIA requests.
- Scan documents into electronic system and link to proper employee profile or department file in the system or shared department drive.
- Participate in annual policy review by assisting in the administration and communication of any changes.
- Provide support in employment relations investigations (i.e., acting as witness, taking notes, helping with reporting, etc.).
- Provide administrative and clerical support to the department as needed.
- Maintain good punctuality and attendance to work.
- Follow Bank policy, procedures, and guidelines.
Knowledge, Skills & Abilities:
- Knowledge of employment authorization document (EAD) requirements and work authorization renewal processes.
- Knowledge of legal requirements for employment file record-keeping.

Position Requirements:
Basic Qualifications:
- High school diploma or equivalent, required; bachelor’s degree in a HR-related field, preferred.
- 6+ months’ experience in a Human Resources or administrative role in a professional work environment, required.
- 6+ months’ experience in a role supporting Form I-9 processes and/or immigration processes, preferred.
