We are looking for a part-time HR Assistant to join our team to support the HR Department.
The Role
Are you an experienced HR Assistant who is able to provide support and assistance within the HR department? You will ensure the smooth day-to-day running of all personnel-related systems, training and development and assisting in ensuring regulatory compliance within the department.
You will need excellent communication skills as you will be required to work closely with recruiting managers, guiding them through the safer recruitment process. Your ability to carry out tasks and organise your own workload whilst working towards tight deadlines are all skills required to succeed in this role.
Responsibilities
· Assisting HR with the process of recruitment, including vetting candidates, assisting with arranging interviews, following guidance to implement safer recruitment process, and supporting the recruiting manager to follow a clearly documented process.
· Issuing conditional offer letters and contracts of employment and Employee Handbook – ensuring agreement sign-off by the employee
· Data upload and maintenance of the HR database ‘People HR’, ensuring that all personnel files have been uploaded. Leavers updated.
· Assisting with welcome and HR onboarding process including completing DBS, Right to Work, and reference checks.
· Issuing termination letters and completing the leaver process in line with company guidance.
· Supporting internal and external enquiries relating to the HR department
· Supporting HR-related training programmes to deliver the rollout of new systems
· Maintaining the company training matrix; monitoring training due dates to ensure compliance with regulations and internal requirements; booking training and promptly escalating any overdue.
· Supporting and assisting with the development of company wellbeing and EDI programmes.
· Maintaining annual leave and sick leave records electronically and within the HR database.
· Assisting with the coordination of reviews and appraisals and uploading appropriate documentation to People HR.
· Issuing end of probation letters as required to staff.
· Attending HR-related meetings to record employee-related matters.
· Continuously learning the latest HR best practice to improve workplace efficiency.
· Assist with ad hoc admin duties as required.
· Work within company guidelines, regulatory rules and procedures.
Qualifications/experience
· Diploma in Human Resource/People Management or CIPD qualified
· Able to use HRIS (People HR system desirable)
· 1 year of experience working within the HR department
· Excellent working knowledge of Microsoft Office (Word, Excel, Outlook)
· The ability to work quickly, accurately, and discretely, using an organised approach and with excellent attention to detail
· Self-motivated, able to work under pressure and exercise clear judgment
· Excellent interpersonal/communication skills, including a good telephone manner
· Confidence to manage various workloads and deadlines
· Good team worker but able to work autonomously
Flexible working remotely from home, with occasional travel to London for management meetings.
