Job Title: HR Assistant
Hours: Full time, 35 hours a week (9.00am-5.00pm)
Salary: £27,000 pro rata, per annum
Location: 13 North Common Road, Ealing London W5 2QB
Responsible to: Head of HR

Main purpose of the job
Metanoia Institute is a well-established educational charity, specialising in the professional training programmes for counsellors, psychotherapists, counselling psychologists, supervisors, coaches, and organisational development consultants.
An opportunity has arisen for a strong administrator to join the HR team.
We are looking for an enthusiastic HR Assistant to the HR Team. This is an exciting opportunity to gain experience and knowledge in delivering HR and administrative support for a wide range of staff across the Institute.
Reporting to the Head of HR, you will be responsible for key monthly HR administration processes. You will support recruitment and on boarding of new staff; probation, development reviews and leave for professional staff etc.
This is a fantastic opportunity for a team player with strong communication skills and excellent attention to detail. The ideal candidate will have a working knowledge of HR processes paired with professional experience in a fast-paced environment. Strong numeracy skills, and experience working with databases or HR systems, will also be assets.
Key areas of responsibility
- Act as the first point of contact for enquiries from employees, line managers and the general public by telephone, email and face to face, answering straightforward questions on general HR queries and metrics and the administration of HR processes, recruitment campaigns, or redirecting queries as appropriate.
- Proactively and accurately maintain confidential personnel files, tracking spreadsheets and the HR electronic calendar to ensure that all actions are acted upon in a timely fashion.
- Complete data entry on the HR system.
- Assist with running monthly reports for absence and leavers for payroll processing
- Provide administrative support for recruitment exercises including: placing advertisements; generating interview invitations to applicants; preparing shortlisting, sending starter packs assisting with the administration of candidates and new starters.
- Undertake right to work checks, ensuring that all personnel files have the correct documentation in line with current right to work requirements; ensure compliance with requirements of the Institute’s Staff Immigration process;
- Support the HR service including: annual leave and sickness recording on Myhrtoolkit probation reviews, and career development reviews.
- Support the administration of casual workers: including drafting letters of engagement, completing pre-employment checks
- Facilitating training and development initiatives and follow up with evaluation forms for teams and their line managers.
- Coordinating and delivering staff inductions
- Keep up-to-date with relevant policies and procedures set out by Institute
- Any other task as required.
