Human Resources Assistant
A full-time position is available for a Human Resources Assistant. 830am-5pm, flexibility to work 7am-330pm, 2x to 3x a week. The successful candidate will work 40-hours a week.
The primary purpose of the job is to perform assigned administrative duties that serve to support the Human Resources Department and its Director. As HR Assistant, you will report directly to the Director of Human Resources.
Educational Requirements
Must possess an Associate Degree and one or more years of experience in an office setting performing clerical duties. Three or more years of HR experience may serve as substitute for the educational requirement.
Major Duties and Responsibilities
· Greet and provide assistance/information to applicants, employees, members of management, residents' family members, agents/vendors, and others.
· Direct telephone calls for the department by determining nature of call and, as appropriate, assist caller, transfer call to appropriate individual, or take message.
· Maintain CONFIDENTIALITY of all pertinent human resource information in accordance with the Privacy Act and other pertinent laws, as well as established policies and procedures regarding the release of information.
· Provide public information (i.e., verification of employment, etc.) via telephone or mail, in accordance with current laws, regulations, and guidelines governing such matters.
· Maintain active and inactive human resource files, benefit files, disciplinary files and other appropriate files by updating and filing on a routine basis.
· Perform other related duties that may become necessary/appropriate to assure that the facility is in compliance with current laws, regulations, and guidelines concerning the operation of our facility
· Compose/prepare routine correspondence. Type letters, reports, statements, minutes of meetings, agendas, etc., as necessary or requested.
· Assemble information packets (new employee orientation, benefits, etc.).
· Arrange for meetings, conferences, training sessions, etc., as requested.
· Assure that sufficient forms and office supplies are kept on-hand so that under normal circumstances the department may have adequate forms/supplies to function properly.
· Prepare mailings, to include printing labels, stuffing envelopes, and processing mail for postage.
· May be required to take notes/minutes at certain meetings or proceedings.
· Provide general assistance and information to applicants concerning current job openings and other application procedures. Accept applications, ensuring that each application is complete and signed prior to the applicant’s departure.
· Assist with data input (i.e., pay changes, status changes, etc.) on the ABRA HR/Payroll system as directed.
· Prepare and distribute performance appraisal forms to department heads on a monthly basis. Monitor timeliness of appraisals and send late notices to appropriate parties.
· Calculate and process merit increases for employees as completed performance appraisals are received.
· Compile and prepare employee birthday and anniversary information to distribute throughout the facility.
· Assist in the assembling and completion of COBRA and FMLA notifications as directed.
· Provide back-up for certain essential duties normally performed by other human resource employees in the event of an emergency or other necessity. Participate in appropriate cross training to ensure this may occur.
· Perform reference and background checks on prospective employees as directed.
· Verify nursing licensure with SC State Board of Nursing, nursing assistant certification with ASI (service provider for DHEC), and other licenses for professional positions as required. Conduct verifications with other states as appropriate.
· Maintain current records regarding nursing licenses and CNA certifications. Request/accept renewed licenses from staff. Complete and forward paperwork required for renewals of CNA certifications.
· Assist in processing benefit enrollment paperwork as well as reviewing benefit provider billings for accuracy.
· Assist with making employee badges.
· Assist other HR staff as requested.

Pay: $18.36 - $27.99 per hour
