HR ASSISTANT| Overview
We are seeking to appoint a motivated and detail-oriented HR Assistant to provide a wide range of HR support functions to assist the school in providing an efficient HR service. This role focuses on HR administration around the entire employee lifecycle and includes the preparation of the monthly payroll ledger ready for submission to our outsourced payroll provider. You will report to the Head of Compliance and HR and be part of a small HR team.
HR ASSISTANT| Key Responsibilities
o Accurate creation and maintenance of HR Files. o Supporting with all recruitment and selection activities - advertising of roles, arranging interviews, pre-employment checks (including DBS, references and right to work) and preparing contracts of employment. o Ensuring safer recruitment practices are employed at all times. o Ensuring all new starters are recorded on the schools Single Central Record. o Maintaining staff lists including teacher staff lists on Dept for Education site. o Preparing HR letters – absence, maternity, allowances, flexible working. o Managing the new starter and leaver processes liaising with other departments as necessary. o Preparing annual pay review letters and managing the annual census submission. o Providing advice and guidance on employment matters such as sickness, maternity leave, pay etc. o Recording and monitoring sickness absence. o Producing the monthly payroll submission and pension information for c. 180 staff. o Advising current and ex staff with pension or employment queries. o Providing information to the school payroll and pension providers as and when required. o Maintaining staff information on the School database (iSAMS). o Supporting managers during probationary periods and producing letters as necessary. o Supporting with HR projects as required. o Supporting the Head of Compliance and HR with tasks and activities. o Providing general HR advice and guidance to all staff.
HR ASSISTANT| Person Specification
The role would suit a positive, self motivated individual with a strong attention to detail. A team player is essential as is a good communicator.
Applications are welcome from either a recent graduate with 1-2 years work experience who is willing to learn and looking to develop a career in HR or a more experienced HR Administrator or HR Officer who would like to work as part of a small team in a busy school environment.
o Ideally a minimum of 12 months experience in an HR Assistant or HR Administrator role. o A good understanding of HR processes, practices and legislation would be useful. o Experience of working in a School is desirable but not essential. o A good track of successfully achieving objectives and targets is essential. o Good administration, organisation and planning skills. o High level of written and verbal communication skills. o Excellent attention to detail and accuracy. o Numeracy skills essential to help with the monthly payroll information. o Strong IT skills including Teams, Word, Outlook and especially Excel. o A positive attitude is key for this role as tasks are wide reaching and varied. o Excited by the prospect and opportunity of working at one of the country’s largest and most successful prep schools. o Enthusiastic, self-motivated and able to work and act on own initiative. o The ability to multi task and work flexibly is essential. o A can do attitude is essential with a willingness to take on additional tasks when necessary. o Conscientious approach with a commitment to the aims and ethos of the School. o Understanding and commitment to the welfare and safety of pupils.
HR ASSISTANT| Conditions of Employment
o Start date will be March 2023 o This is primarily a term time role. You will work during school terms from 9am to 4.30pm Monday to Friday (flexibility will be considered).
o During school holidays there is a need to work an additional 20 days per annum (4 weeks) with such days being spread throughout the year during the holidays. This is to fulfil the payroll needs and to help manage the School’s all year round HR requirements. It should be noted that school holidays at Cheam total approximately 17 weeks a year of which you will be required to work for 4 weeks/20 days.
