Delaware North UK is hiring a full-time HR Administrator to be based at our head office in Uxbridge. As an HR Administrator, you will support administrative tasks through the employee lifecycle from recruitment to employment and beyond.

Responsibilities

  • To ensure all administrative duties are carried out efficiently and to a high standard including answering phone calls, picking up messages, checking and responding to emails, forwarding and escalating queries to the appropriate level.
  • Respond professionally via telephone and email to recruitment and HR enquiries ensuring this is done in a timely manner
  • Monitor the on-boarding system for the collation of personal data and make the final checks ahead of the automated data transfer to our Time and Attendance System and Backgrounding Checking provider. Screening the data transfer with Profit Protection before uploaded into the system.
  • Ensure all new starter paperwork is completed correctly ahead of data exports from the Applicant Tracking System to our Time and Attendance System, HR System and Background Checking provider and contacting candidates where information is missing.
  • Ensuring that the Time and Attendance system is updated to reflect accurate Working Time Directive data for new hires.
  • Respond to all employee and casual worker employment reference requests using the companies given template within a 5-to-10-day timeframe.
  • Follow the correct process in ensuring all permanent new hires are added to the HR System correctly, including ensuring that all appropriate paperwork is uploaded to file such as Offer letter & contract, RTW documents, CV and Job descriptions. Liaising with the HR Assistant to ensure they are aware of all permanent new hire uploads.
  • Ensure that new starters information is accurately uploaded to the appropriate systems.
  • Distributing a monthly leavers list to the relevant departments to ensure system access for all leavers is revoked.
  • Keeping accurate and up to date records of all HR related activities on the appropriate systems.
  • Promote and develop the reputation of Delaware North as an employer of choice.
  • Support the HR department with any reasonable requests that may be made from time to time.
  • Undertake all administration tasks associated with HR processes and procedures covering the employment life cycle e.g., on-boarding, employment changes, benefit administration and leavers. Responsible for accurate people data input and general record keeping, including absence & payroll input.

Qualifications

  • GCSE’s (or equivalent) or 1+ year in a similar role required. Currently working towards or a desire to work towards a CIPD qualification is desirable.
  • Excellent computer skills, knowledge of MS Office including MS Excel and MS Word. Knowledge of recruitment candidate management system and HR information systems.
  • Strong written and spoke communication skills with an ability to connect to a wide and varied audience.
  • Agile in thinking and approach, self-driven, and resilient.
  • Strong organisational and time management skills.
  • Experience working with a large volume casual workforce is desirable.
  • Comfort working with financial data is desirable.
  • Previous experience working in a similar environment (customer service or event-based industry) would be of benefit.
