Physiotherapy Team Administrator - Band 3, Torbay Hospital 16 hours
Are you an experienced and hard-working Administrator?
We are looking for an individual with excellent administrative and communication skills to work in our Physiotherapy department, based at Torbay hospital.
The post holder will work 16 hours per week, playing a vital role in the administrative support of our Physiotherapy teams, as well as working with patients on our busy reception desk.

The successful candidate will need to enjoy dealing with people, and be able to demonstrate excellent patient care.
They will work closely with all team members to ensure the efficient completion of all admin duties according to patient and service need. They will need to be able to work under pressure, follow instructions, and complete tasks as scheduled.

To provide comprehensive, administrative & co-ordination support, reactive to the needs of the range of multi-disciplinary teams.
You would be part of the wider MSK Physiotherapy Admin and Clerical team supporting the physiotherapy service.
The role would also include providing high quality reception support at Torbay Hospital MSK Physiotherapy department.
Your role would include meeting the challenge of managing time, organising work effectively, whilst working under pressure and with frequent interruptions.
As part of the wider MSK Physiotherapy Admin Team, you will also provide admin support to the whole physiotherapy team, as needed, enabling them to provide a first-class service to the Torbay and South Devon Community.

- Regular face to face, telephone or electronic correspondence with patient/clients and their relatives, other agencies, Professionals and colleagues across the Trust
- Take messages for the team, ensuring accurate details are taken and relevant messages forwarded
- Ability to identify urgency of calls for action accordingly
- Ability to resolve queries
- Undertake general office duties to include dealing with emails and post, photocopying, scanning and associated tasks
- You will be part of a team of 12 MSK Physio admin staff across the Trust
- Maintain electronic diaries, booking and rescheduling appointments
- Support and facilitate meetings through: source suitable venues, recording of notes/minutes and distribution of associated paperwork. Follow-up actions as necessary
- Maintain filing systems, both manual and electronic
- Maintain office records ensuring they are kept up to date with relevant information (staff attendance & training and contact directories)
- Minute taking
- Undertake general office duties to include dealing with post (collections and outgoing), emails, scanning, photocopying, faxing, laminating and associated tasks.
