Generalist HR support:
- Work closely with the HR team to support with all administration within the team.
- Support with drafting contracts, contractual addendums and any other people-related paperwork as required.
- Ensure that all paperwork is updated on each person’s file.
- To maintain and keep the HR System (HiBob) up to date on an ongoing basis, including ensuring the data is up to date at all times and making changes as requested.
- Maintain the payroll tracker and ensure it is up to date with everything needed to be actioned for that month and to maintain future dates, ensuring everything is kept up to date.
- Reply to reference requests that come in, and ensure references are requested for all new starters.
- Maintain the electronic files, ensuring all paperwork is returned and saved as appropriate, maintain the HR SharePoint and keep the files organised and up to date.
- Monitor and respond to queries from the HR inbox, ensuring a people-focused approach.
- Schedule and deliver inductions on a weekly basis to new starters.
- Raise POs and support other team administration.
- Support with other queries as requested by HR management.
Recruitment:
- Support the Recruitment Manager with any recruitment-related administration, including setting up and arranging interviews.
- Liaising with the Recruitment Manager to arrange logistics for screening calls.
- Sending communications to candidates in relation to their applications.
- Ensure relevant paperwork is sent to the recruiting managers to move along the process.
- Getting the relevant offer checklist from the manager in order to prepare offer paperwork.
- Supporting with maintaining TeamTailor (ATS/Applicant Tracking System).
PERSON SPECIFICATION – SKILLS, EXPERIENCE AND QUALIFICATIONS
- Experience in an administration role, with 6+ months of experience in an HR team.
- Strong written and verbal communication skills with a focus on proactivity and initiative.
- Excellent attention to detail.
- Strong organisational skills.
- Ability to work in a small, fast-paced team while maintaining high accuracy levels and promptly delivering conflicting priorities.
- Maintain confidentiality at all times and work in a respectful and people-focused manner.
