The Role: HR & Occupational Health Administrator

Purpose:

Reporting to the HR Services Supervisor, the HR and Occupational Health Administrator works as part of a team to provide an effective and professional HR Service covering a full generalist HR operations, support with Occupational Health (OH) and Drugs and Alcohol (D&A) Activities in line with ABP Policies and Agreed processes.


Accountabilities:

  • Act as the first port of call to employees and external partners for all transactional HR and OH related queries
  • Form, maintain and Process employee records necessary for key steps in the employee life cycle
  • Updating employee records within the HR Systems internally, such as sickness, D&A results and maternity leave
  • Preparing where necessary HR and OH documents, for example employment contracts, Reports
  • Part of an operational support team covering email and helpline for employees and people managers
  • Understanding and complying with HR Services performance and customer satisfaction metrics.
  • Communicating with external partners such as benefits providers
  • Assisting with payroll by providing relevant employee information, for example holiday and sickness days taken and reward records.
  • Working closely with key contacts for OH and D&A schedules, referrals, booking of OH and ENG Clinics as needed
  • Review, check and process invoices received in respect of OH and D&A services on a timely basis.
  • Ensure delivery of service is in line with agreed SLA’s and KPI’s
  • Maintain SOP’s (detailed work instructions) for all OH and D&A processes, review and update regularly in conjunction with the Group Head of Reward and Benefits and HR Services Supervisor.
  • Raise OH service delivery issues arising directly with the service providers and escalate within ABP as appropriate

You will be a real team player, eager to get stuck in to this exciting and fast-paced industry and work hard. This role is part of a small team and so it is essential that you can use your initiative, be proactive and are comfortable working with unpredictability in, what are often, sensitive situations.


Skills, Experience & Qualifications

Essential

  • Experience of working within a HR operational team (or similar) as an administrator, or with the potential to develop in role
  • Good knowledge of MS Office
  • Experience of application of GDPR legislation
  • Strong customer service orientation
  • Ability to forge strong working relationships with a diverse set of colleagues and third parties in multiple locations
  • Good Analytical and problem-solving skills
  • Excellent communication. organisation and interpersonal skills
  • Hands on approach, Positive attitude and self-starter

Ideal

  • Graduate degree and CIPD qualified (level 5) or working towards qualification.
  • Familiarity with HR policies
  • Understanding of employment law and familiarity with ACAS guidelines
  • Knowledge of handling Occupational Health or HR data would be of benefit but not essential
