A little bit about what we are looking for...
We have recently merged 2 departments to support our expanding strategic focus on customers whilst creating new structures to support initiatives and offer succession planning and support for employees. As such we are looking for a new Home Budgets Assistant to support this.
As a Home Budgets Assistant, you will provide an efficient and effective customer focused administrative service for third party management within the Home Budgets team. If you are a strong administrator, with good attention to detail as well as good numeracy and PC skills, then this could be a great opportunity to gain start a career in housing.
We are happy to offer hybrid working with this role; You will be required to be in the office for around 2/3 days per week with the rest being from home, however please bear in mind we may need you to be in the office more within your probation and training. It's important to us that you feel fully ready and confident in the role before working from home. Of course if you'd prefer to be in the office more, then that is completely fine with us too!
Your responsibilities...
- Process invoices onto P2P within 5 working days of receipt.
- Reconcile payments and outstanding demands ensure accuracy and minimising duplication
- To liaise with Third Party Managing Agents regarding outstanding demands, invoices and end of year accounts. Escalating any concerns to the Home Budgets Team and Manager
- Keep all Third Party Managing Agents communication documents and saved within the relevant file location including Budgets and end of year accounts.
- Ensure all new developments, with third party involvement, are added to the central database with all supporting information.
- To ensure that the appropriate information relating to Service Charge demands is validated and relevant invoices are correct, and any queries are raised with the relevant Neighbourhood and Home Budgets Coordinator.
- Escalate any actions from validation to a Home Budgets Coordinator to progress.
- Collate and provide documentation for complaints and expressions of dissatisfaction about service delivery to Home Budgets Coordinator or manager.
- To keep all databases and systems accurate and updated, including but not limited to Northgate, Documotive and CRM
