Occasional evening and/ or weekend working may be necessary, as well as some national travel (expenses fully reimbursed, travel time included in hours, laptop loaned). Flexible working, with combined remote option negotiable.

2Funky Arts is a not-for-profit social enterprise, based in Leicester. We have received funding from The National Lottery Heritage Fund to explore Black, African & Caribbean experiences of UK independent record stores that specialised in Black music (1950’s onwards).

This is an exciting opportunity to join the team of a dynamic arts organisation and a national network of partners. We are looking for someone who has at least 1 years’ experience in administration, preferably within the arts and/or heritage. You would be supporting our Project Manager in rolling out this exciting initiative.

Job Tasks

  • Deputise for the Project Manager where required.
  • Gathering quotes for venue hire, equipment and contractors.
  • Following up correspondence with artists, programmers and participants.
  • Ensuring all access and support needs are explored and participants and practitioners supported.
  • Helping to arrange refreshments and travel for participants and artists.
  • Fill out contracts and briefs with contractor/freelancer details for services, using templates provided.
  • Provide regular written updates to our network of partners and coordinators.
  • Keep records of all interviewees and volunteers involved in the project, subject to their permission, for project purposes.
  • Provide presence at a sample of project activities when required, including filming and volunteer training (travel time factored into hours).
  • Catalogue all images and other heritage material, for archiving.
  • Help to review all resources and provide feedback, in conjunction with our team.
  • Keep basic records of project spending.
  • Keep records of audience figures, distribution, and volunteer engagement.
  • Undertake website training and update heritage website as and when required.
  • Package resources and disseminate.
  • Distribute feedback forms and surveys across all parties and audiences involved in the project.
  • Undertake feedback collection (for evaluation and consultation purposes).
  • Conduct vox pops and interviews with audience members and participants (on site and on the phone), to gather feedback evidence.
  • Assist at a national launch for press, heritage and education professionals.
  • Keep databases of partners and update our mailing list accordingly.
  • Assist artists at projects, to ensure adequate supervision of participants is provided.
  • Ensuring all participants are aware of project arrangements.
  • Undertake any other relevant duties as required, in keeping with the above level of responsibility.

Person Specification

Essential

  • At least 1 years’ experience in administration, preferably in the arts.
  • Good basic education to GCSE standard or equivalent
  • Experience of assisting in events management, either in a paid or voluntary capacity.
  • Excellent communication skills, both written and verbal.
  • Proficient in MS Office packages.
  • Excellent attention to detail.
  • Knowledge and understanding of managing data confidentially and sensitively.
  • Ability to prioritise your workload, work flexibly, keep to deadlines and remain calm under pressure.
  • Ability to work effectively as part of a team.
  • Strong interpersonal skills and experience of working with a wide range of people.
  • Knowledge of Equality and Diversity.
  • Strong literacy and numeracy skills.
  • Willingness to undergo DBS clearance.
  • Experience in administering financial records.
  • Permission to work in the UK.

Desirable

  • Educated to at least A Level standard (or equivalent) in a relevant subject.
  • Experience in feedback collection (guidance provided).
  • Experience of working with volunteers (guidance provided).
  • Experience of partnership working (guidance provided).
  • Knowledge of health & safety principles (training given).
  • Experience and understanding of safeguarding (training given).
