Position Summary: As a receptionist at an adult day care center, you will play a vital role in creating a welcoming and supportive environment for our clients and their families. Your primary responsibility will be to manage the front desk operations, greet visitors, answer phone calls, schedule appointments, and assist with administrative tasks. Additionally, you will act as a liaison between clients, staff members, and external stakeholders, ensuring effective communication and coordination.

Responsibilities:

1) Front Desk Operations: Greet clients, visitors, and families with warmth, empathy, and respect. Answer phone calls and provide information regarding the adult day care services. Direct incoming calls to the appropriate staff members and take accurate messages when necessary. Maintain a tidy and organized reception area, ensuring it reflects a positive and welcoming atmosphere.

2) Client Services: Register new clients and maintain updated records in the database. Provide information about the services, programs, and activities offered by the adult day care center. Assist clients in completing necessary forms and documentation. Schedule appointments for clients, including transportation arrangements if required.

3 )Administrative Support: Assist with general administrative tasks, such as filing, photocopying, and data entry. Maintain and update client files, ensuring confidentiality and accuracy of information. Assist in managing office supplies and inventory. Help prepare and distribute newsletters, memos, and other communication materials.

4) Communication and Coordination: Liaise between clients, their families, staff members, and external stakeholders. Relay messages, requests, and concerns to the appropriate personnel. Collaborate with the care team to ensure smooth operations and efficient service delivery. Communicate and coordinate transportation arrangements for clients as needed.

5) Safety and Security: Monitor the entrance and ensure the security of the facility. Adhere to safety protocols, emergency procedures, and health regulations. Report any safety concerns or incidents to the appropriate supervisor.

6) Establishing Customer Relationships: Build and maintain positive relationships with clients, ensuring their satisfaction and well-being. Follow up with clients to address any concerns or questions they may have. Provide ongoing support and assistance to clients, fostering a sense of trust and loyalty.

7) Customer Education and Needs Assessment: Utilize a customer-focused, needs-based approach to educate clients about the insurance options available to them. Conduct thorough assessments to understand each client's specific needs and tailor recommendations accordingly.

8) Explain policy details, coverage options, and any applicable terms or conditions to ensure clients make informed decisions.

9) Lead Generation and Appointment Scheduling: Actively seek out and develop leads for potential customers. Schedule appointments with prospective clients to discuss their insurance needs.

10) Marketing Products and Services: Identify customer needs based on thorough assessments and recommend suitable insurance products and services. Effectively communicate the features, benefits, and value of various insurance options. Use persuasive and consultative selling techniques to market and promote appropriate products and services.

Requirements:

Interest in Marketing Products and Services: Demonstrated interest in promoting and selling products and services based on customer needs. Willingness to learn and stay updated on insurance industry trends and offerings.

Excellent Communication Skills, multilanguage English / Spanish: Strong written, verbal, and listening skills to effectively communicate with customers. Ability to explain complex insurance concepts in a clear and concise manner. Active listening skills to understand customer needs and provide tailored solutions.

People-Oriented: Ability to connect and engage with customers on a personal level. Genuine interest in helping customers find the best insurance solutions for their needs. Empathy and patience when addressing customer concerns or questions.

Detail-Oriented: Strong attention to detail to accurately assess customer needs and recommend appropriate insurance options. Ability to review and analyze policy details, terms, and conditions.

Proactive in Problem Solving: Ability to identify and address customer concerns or issues in a proactive and timely manner. A willingness to go above and beyond to provide excellent customer service.

Computer Proficiency: Ability to learn and navigate computer systems and software relevant to the insurance industry. Familiarity with using technology for customer management, appointment scheduling, and documentation.

Qualifications:

  • High school diploma or equivalent (additional education or training in customer service is a plus).
  • Previous experience in a receptionist or customer service role is preferred.
  • Excellent interpersonal and communication skills, with the ability to interact compassionately with older adults and their families.
  • Proficiency in using computer systems and standard office software (e.g., MS Office, email, database management).
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks efficiently and prioritize workload effectively.
  • Empathy, patience, and a genuine interest in providing support to older adults.
  • Ability to maintain confidentiality and adhere to professional ethics.

Job Type: Part-time

Pay: $18.00 - $20.00 per hour
