Role Overview
To provide administration support to the Health and Safety Team by maintaining a range of databases and computer systems to assist in ensuring safety compliance. IOSH Managing Safely training and mentoring will be provided with the potential for the role to develop and progress.
Key Duties/Responsibilities:
- Keep ongoing inventory of all hazardous substances used on site and stored on site.
- Obtain latest versions of the Safety Data Sheets
- Monitor H&S Kingsway email and book all contractors in for inductions.
- Keep a log of contractor inductions and update the contractor log daily.
- Review fire marshal handovers and track actions.
- Send out DSE assessment forms to all VDU users and keep a log of returned forms.
- Book in all inductions for new colleagues and a log of all these inductions will be kept within the department.
- Analysis of incident data to identify trends and prioritising areas of focus.
- Maintain a table of audit scores for each topic within the Safety Management System.
- Take minutes of meetings
- Data analysis
- Produce statistics for Operations along with a monthly summary report and a detailed report for Health and Safety Committee meetings.
- Undertake Administrator role for the accident reporting database.
- Run daily reports from the accident reporting database and provide to Operations.
- Perform any ad hoc duties that the Health and Safety Manager might reasonably request
Skills & Experience
- The ideal candidate will need to demonstrate all of the key elements identified above together with:
- An administrative background, preferably within a Health & Safety but not essential
- Exceptional client focus, communication, organisational and interpersonal skills.
- Proficient use of all Microsoft applications, particularly Excel.
- Excellent attention to detail often working to challenging deadlines.
- First-class organisational skills with a focus on task prioritisation.
