Overview
30 Euston Squaer jointly serves as a members facility with a 41 bedrooms boutique hotel, large events venue for around 1000 guests at any one time and mixed work spaces
The Reception team serves as the first point of contact for all bedroom guests, members and events visitors to the Royal College of General Practitioners. Main Purpose:
The Head Receptionist will directly assist the Reception & Accomodation manager in all tasks concerning the reception operation and be deputised as the department in the absence on the manager. The Head Receptionist will be responsible for several reception staff development programs, rota's, financial auditing support with managers guidance, PMS system management, bedroom checks, H&S and guest relations.
The Head Receptionist will work on average 5 of 7 days based on shift system of 40 hours per week and will be reporting directly to the Head Receptionist(s). Shifts are split between 7am till 3pm, 3pm till 11pm and adhoc support for night manager cover between 11pm till 7am when required (holiday / sickness).
This is a Duty Manager / Supervisor level reporting directly to the head of Department.
Key Responsibilities:
- Supervising the reception team and assuring all standards are consistently met
- Training of new staff on all relevant duties
- Ensuring the smooth running of the day to day desk operation including handover records are up to date and are being followed up on
- Ensuring waitlist is up to date and guest feedback and complaints are dealt with in a professional and friendly manner advising the Reception Manager of outcome or ask for assistance.
- Providing access details or login credentials for new staff to all relevant systems
- Act as Duty Manager when scheduled on desk shifts
- Respond to emergencies and oversee evacuations as necessary
- Ensure all health and safety regulations are being adhered to
- Set-up and maintain of group master accounts assuring all accommodation charges are correct and communicating these to the events and sales teams for billing
- Provide holiday cover for the Night Manager(s)
- Assist in preparing daily, weekly and monthly revenue reports
- Assist in preparing and creating the monthly bedroom guest feedback report
- Assist in creating and preparing the weekly rota
Skills Required
- Experience with PMS hotel systesm
- Experience in hotel front desk operations and / reservations departments
- Experience as Team Leader, Supervisor or Assistant Manager in front desk operations
- Excellent communication skills to staff and clients
- Takes the initiative
- Supportive / Team player
- Demonstrate high level of organisation.
- To be able to work under pressure and to cope with any unforeseen circumstances i.e. Holiday requirements, sickness, etc.
- To have a positive and co-operative attitude.
