Preston Redman is a forward thinking law firm based in Bournemouth on the South Coast. The firm has a culture of exceptional Client service and prides itself on being an open friendly place to work.
We are looking for a full-time receptionist, the role is to help run and maintain a professional reception desk and help the team with a variety of duties.
Duties
- Answering the telephones and taking messages, and checking the firm’s answerphone.
- Checking the firm’s e-mail account and forwarding e-mails as necessary
- Meeting and greeting Clients in a friendly, professional and welcoming manner
- Dealing with the firm’s money laundering procedures
- Printing, scanning and copying documents
- Scanning all incoming post and by hand deliveries
- Looking after the front of house, including keeping the reception, waiting area and conference rooms tidy
- Booking conference rooms for fee earners
- Arranging telephone conferences
- Maintaining the staff and client sign in sheets
- Witnessing Clients signatures to documents
- Assisting the team
- Mentoring and assisting the training of Apprentice Reception/Hub member
Requirements
- You are a friendly team player
- Computer literate and show proficiency in Microsoft office suite
- Excellent organisational, planning and prioritisation skills
- Punctual
- Excellent listening skills, ability to deal with difficult and distressed clients
- Ability to communicate effectively with people at all levels
- Ability to work independently and as part of a team
- Personable and confident, able to build relationships with the Clients/Partners/ key staff
- Resilient and calm under pressure
- Adaptable and flexible approach
- Pro-active and takes initiative
- Mathematics and English GSCE or equivalent
- Ideally will have two years’ receptionist experience within a legal environment
