Job title: Head Office Admin Assistant
Hours: Normal working hours 37.5 per week (8.30 am to 5 pm, Monday to Friday)
Main duties:
Working under the direction of line managers to assist with:
- The posting of vacancies onto job boards, filtering applications, arranging interviews.
- Generating offer letters and employee contracts, contract amendment letters etc..
- On-boarding of new staff – taking up references, qualification checking, Right to Work checks, DBS processing.
- General correspondence
- Scanning of documents
- Answering general telephone enquiries and queries
- Updating the HR Database
- Supporting with employee meetings, taking meeting minutes, collating reports and related administration
- Filing
- Any other reasonable duties as directed to support the business needs
Person specification - Essential criteria
- Previous experience in a busy administrative role.
- Ability to manage a diverse workload and work in a fast moving environment providing accurate and timely information to a high standard.
- Understanding of maintaining confidentiality.
- Good knowledge of Outlook, Excel, Word and database systems
- Great communications skills both written and verbal.
- Positive and flexible approach to work and the team.
- Team player supportive of needs of the business and team pressures
- Willingness to learn and undertake further training as required.
