Job description
We are looking for a first-rate organiser and proactive Executive Assistant to fill this key, strategic role within the Head of Department's office providing administrative support to the Head of Department's team.
The role provides day-to-day administrative support to the Head of Department, and any Deputy Heads. This includes being the first point of contact with the Head of Department for visitors, answering phone calls and correspondence, plus supporting academic recruitment activities. The role holder will communicate frequently with senior University staff, external agencies and sponsors, often handling sensitive and confidential information. The role implements and oversees administrative procedures for the Head of Department's office in order to ensure the efficient and effective management of time and workflow. They will also provide secretarial/PA support to a small panel of academics including any Deputy Heads and may supervise a small number of administrators/ secretaries.
Ideally educated to degree level/Level 6 vocational qualification or equivalent level of practical experience, the successful candidate will have previous high level PA/Secretarial Administrative experience. They must have excellent interpersonal and communication skills with the ability to deal with a wide range of people at all levels, significant experience of working in a busy office, working effectively under pressure and of prioritising work to meet on occasions challenging deadlines. They will be able to work independently, acting effectively on their own initiative with the utmost discretion and confidentiality is always essential. They will be highly competent using IT packages including office. Previous experience of working in a higher education environment would be an advantage.
Although some hybrid working may be possible, due to the nature of the role there is an expectation the role holder will work in the Department most days.
