Job description

As our Reception & Hospitality Worker you will be responsible for creating a welcoming atmosphere for service users and other professionals, whilst taking a lead on ensuring the centre is tidy and refreshed from a hospitality focus, including scope for light administration work; including data inputting and generic administration duties.

You will relate positively to other team members, volunteers, staff and service users, whilst undertaking a variety of front of house tasks for Renaissance UK.

The successful applicant will require excellent communication skills, dealing with enquires face to face and over the phone. You will also work alongside the administration team, supporting and covering administration tasks in periods of leave and absence.

For the Hospitality focus you will be responsible for daily Housekeeping, keeping office spaces and meeting rooms presentable and replenished of all stock. Setting meeting rooms up and closing down, as well as an element of light touch cleaning, to ensure the building stays presentable on days when cleaners are non-working, or on annual leave.

You will require GCSE grades C or above (or equivalent) in Maths and English, desirably a Customer Service Qualification and experience using a phone system switchboard.

  • Welcoming service users, volunteers, and visitors to the building
  • Enable individuals to enquire into services and facilities
  • Communicate clearly and confidently over the telephone and face to face when dealing with enquiries.
  • Record and distribute voicemails and messages
  • Record daily post, both in & out, as well as frequent trips to the Post Office
  • Deal with deliveries, including manual lifting
  • Handling Resources – i.e: ordering stationery and housekeeping products as well as booking in deliveries and stockpiling co-ordination
  • Structuring and maintaining electronic and paper information/filing systems
  • Structure and maintain archiving systems and schedule confidential shredding
  • Prepare weekly Safe Sex Packs
  • Complete the weekly ordering of stock for the Needle Exchange Service
  • Ad Hoc admin tasks such as; letters, printing, supporting events etc
  • Cover additional administration tasks for the absences of the administrator
  • Assist in the preparation and hospitality of in-house meetings, events and groups
  • Maintain a clean and safe office environment completing daily housekeeping tasks in relation to reducing risks around Health & Safety, such as: keeping office spaces tidy and presentable, dishwasher emptied and re-stacked, bins emptied when required, refreshments replenished and hospitality items such as hand towels, toilet rolls etc replenished. Hoovering may also be required throughout the working week
  • Errands as and when required
  • Ensure own actions reduce risks to Health and Safety and support in H&S compliance throughout the building
  • Become an in-house Fire Warden working alongside the Ren UK administration team, completing weekly Fire Alarm Tests & monthly Emergency Lighting Testing
  • Complete a Quarterly Report to showcase your work to local commissioners and the Renaissance UK’s Council of Management Team
  • Develop your own knowledge and practice
  • To be able to work on own initiative
  • Make use of supervision and Line Management support
  • Comply with the organisations ethos, policies and procedures
  • Promote peoples' equality, diversity and rights
  • To undertake an enhanced DBS Disclosure
  • To act as a keyholder
