Job Title: Group HR Assistant
Reporting to: Group HR Business Partner
Responsible For: None
Salary: £25-£28k plus benefits
Location of Role: Home based with travel to site required.
Job Purpose:
This role is a Fixed Term Contract for 12 months. We are actively recruiting for a HR assistant to work with the Group HR team, this role is home based and travel across our multiple sites is essential. The successful candidate must be able to drive to enable them to reach our sites. You will need to have excellent communication skills as you will be required to work closely with employees and line managers guiding them through their employment journey with us.
Role and Responsibilities
- Providing administrative and organisational support to the group HR team
- Providing guidance on site to employees
- Issue all offer letters, statement of terms and any associated HR paperwork to all new starters
- Obtaining references for new starters
- Uploading and scanning of HR documents
- Day to day management of the HR email inbox
- Training and supporting the HR Administrators
- Ensure all relevant ID, certificates and employment documents are received by start date
- Driving License checks for new starters and yearly checks for employees
- Be the first point of contact for any HR admin queries
- Conducting pre-employment checks including RTW checks
- Dealing with starters, leavers and processing any changes
- Support redundancy and TUPE processes
- Administration of the HR system entering new starters and leavers onto the system
- Keeping the HR system and all personal files up to date
- Supports the Group HR Director and Business Partner in any employee relations disputes including welfare
- Reviews, Case Review following OH Referrals and Disciplinaries and Grievance issues
- Support line mangers with any investigations where required
- Taken notes in HR meetings where required
- Maintaining employee confidence by keeping HR information confidential at all times
- Maintaining a quality HR service to the organisation by following organisation standards
- Promotion of an open, transparent, positive, and winning culture throughout the business
- To assist the Group HR Director, HR Business Partner and Line Managers with staff needs
Key Accountabilities
- Assisting with the process of recruitment, including vetting candidates, assisting with interviews, and supporting the admins to issue employment contracts
- Supporting internal and external enquiries related to HR
- Compiling and maintaining electronic employee records including holiday and sick leave
- Supporting HR related training programmes and workshops
- Responsible for generating monthly reports across the group including turnover and sickness
- Overseeing HR meetings and coordinating HR-employee communication
- Continuously learn the latest HR best practices to improve workplace efficiency.
- Support any HR projects to aid further learning.
Training duties
- Keeping the training matrix up to date for all sites and CEL
- IHasco, filing of all certificates and course roll out to all new employees
Recruitments duties
- Assist the Group with any requirements regarding recruitment
- Advertising vacancies across multiple platforms
Systems & Processes
- Maintenance of the HR database, files, and training matrix
- Support the implementation of the new HR system
Qualifications/Experience/Skills:
- Previous experience in a HR role/environment (Essential)
- CIPD Level 3 (Not essential)
- Ability to be able to communicate effectively with stakeholders at all levels
- Excellent attention to detail
- Excellent working knowledge of Microsoft Office
- Self-motivated, able to work under pressure and exercise clear judgement
