An exciting opportunity has arisen for an experienced group events coordinator to join our dynamic team. The role will provide a unique experience to support and deliver our new strategy and ambitious growth plans.


With access to circa 2,200 bedrooms in South Kensington and North Acton, over 100 conference/meeting venues in central London, and a premium summer school hosting 500 students annually, Commercial Operations generates valuable income for Imperial to supplement its core activities.

The department was heavily impacted by the pandemic with no on-campus commercial activity during 2020 or 2021. The group is now planning to relaunch with an overarching direction for the next 2-5 years. We are now looking to refine and implement an innovative business strategy focused on achieving profitability at scale using a new concept of “Summer Learning”.


As group events coordinator you will support the increase in revenue and profitability of the commercial use of College space by selling the facilities and services to corporate clients, organisations, schools, groups and agents.

Responsible for converting incoming enquiries for events, increasing the number of residential groups, writing proposals, meeting clients on and off site, contracting events and coordinating all details relating to the event whilst actively cross selling the Accommodation and other available services.

Duties and responsibilities

Acting as the main point of contact for all new event enquiries, responding quickly and professionally, maximising commercial event revenue and overall Commercial operations profit through rate negotiations, meeting individual and team sales and delivery targets.

Conduct client visits ensuring our customers receive a comprehensive tour of all relevant College facilities and receive professional expert advice and guidance. Matching of client requirements to facilities and selling the conference and accommodation facilities of the College, by varied means.

You will build strong client relationships, understanding and interpreting the aim of the event and therefore realising the client’s goal through planning and organising all aspects of the event from the contract through to the lead up to the event ensuring the highest level of customer service is provided at all times.

Responsible for ensuring a seamless handover with the operations team for all events, ensuring that our customers’ expectations are exceeded. This will include periodic attendance on the day of the event.

You will liaise with College accounts to arrange client and organisation set up, invoices are processed accurately and the timely receipt of monies.

Essential requirements

We are looking for you to demonstrate and show examples of:


  • Excellent standard of written and spoken English, including phone manner
  • Excellent numeracy skills
  • Experience working in a co-ordinator role, ideally in the Hotel, Conference or contract Catering trade
  • Experience of prioritising tasks and of managing busy workloads successfully to ensure that deadlines are met
  • Experience working with a room booking, diary management or client relationship management system
  • Working knowledge of MS Office applications including (e.g. Word, Excel, Outlook, Office 365 and Teams).
  • Show initiative in the role and always seek to improve skills and knowledge
  • Knowledge of and interest in the events, leisure and hospitality industries in the UK
  • Have excellent interpersonal skills
  • High level of attention to detail
  • Strong organisational skills
  • Be self-motivated, enthusiastic and a good team player
  • Excellent customer service skills and commitment to high standards of customer service
  • Flexible and able to work longer hours at business-critical times

The College is currently trialling a Work Location Framework until early 2023. Hybrid working may be considered for this role and the role holder may be expected to work 60% or more of their time onsite, with 40% the minimum time spent onsite.
