Job description
To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients.
Reception

Receive and welcome patients and visitors during surgery opening times and direct on appropriate pathway in a polite and professional manner

Be sensitive to the needs of and provide assistance to patients with special needs including disabled patients, patients whose English is not their first language, patients with learning difficulties, carers, & vulnerable adults and children etc

Ensure patient confidentiality is maintained at all times to meet the requirements of the Practice Confidentiality and Information Governance Policies and best practice

Ensure all outstanding patient queries are communicated and promptly handed over to team members at end of shift

Liaise with GP’s and Health Professionals to ensure appropriate care is provided at all times

Perform Reception duties, face to face and over the telephone remaining professional at all times, ensuring correct DPA checks are carried out for each request/instance.

Ensure patient complaints are handled sensitively and Practice procedures followed at all times

Signposting patients to other services care navigation
Admin

Book in, amend and cancel patient appointment in line with practice appointments procedures ensuing optimum efficiency of the appointment system.

Manage prescriptions according to practice procedures and ensure timely distribution of completed prescriptions

Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed

Promptly respond and take action on computerised tasks, notifications and messages from clinicians and other Practice staff

Maintains patient accounts by obtaining, recording, and updating personal and financial information.

Ensure correspondence, reports, results etc. are filed electronically in correct patient record

Check emails on a daily basis. Also regularly check fax machine for incoming messages. Send faxes as required

Scan letters and other documentation and attach to patients’ computerised clinical records
17
Ensure all specimens are labeled correctly, input to clinical system and sent promptly to laboratories
Quality

Contribute to the overall performance of the Practice by providing administrative support to assist the Practice in meeting its quality performance targets including Quality and Outcomes Framework (QOF)

Assist with read coding and summarising of medical records
Admin

Maintain patients, staff and visitor’s safety and security within reception waiting areas

Maintain the tidiness, safety and security of the patient waiting areas (SA)

Maintain the tidiness of consulting rooms after use including ensuring correct disposal of clinical waste, restocking of stationary, clinical and other supplies (SA)

Work safely at all times in accordance with legislative requirements and Practice Policy and Procedures (SA)

Provide cover for colleagues on a rota basis for periods of annual leave, sickness or other leave (SA)

Undertake relevant training and development opportunities to meet the changing needs of the role and improve personal skills

Attend staff meetings and Practice learning times as necessary (SA)

Open or secure building as required and ensure all security procedures are completed (Out of Hours telephone arrangements, securing prescriptions and records, switching on/off computers, securing doors/windows, setting/unsetting alarm, etc) (E11 and E16)

Undertake other duties and responsibilities commensurate with the grade of the position (SA)

Maintain patients, staff and visitor’s safety and security within reception waiting areas (SA)
