Reporting directly to the Vice President, Global Rewards, the Administrative Assistant provides administration support in a one-on-one working relationship and serves as the primary point of contact for the internal and external constituencies on all matters pertaining to the Global Rewards team.
Responsibilities
- Completes a broad variety of administrative tasks for the Global Rewards function including managing calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging team meetings.
- Plans, coordinates, and ensures the VP Global Rewards schedule is followed and respected
- Researches, prioritizes, and follows up on incoming administrative issues and concerns addressed to the VP Global Rewards (employee onboarding/offboarding matters, managing consultants and temporary workers, hardware/software matters, etc). Determines appropriate course of action, referral, and response
- Assists in the preparation of PowerPoint presentations
- Provides administration support to Global Rewards leadership team as required
- Provides bridge for smooth communication between internal departments, demonstrating leadership required to maintain credibility, trust, and support with executive leadership team
- Prepares expense reports, purchase requisitions and other miscellaneous forms
- Arranges programs, events, and conferences by arranging for facilities and caterers, issuing information/invitations, coordinating speakers, and controlling event budget
- Maintains Global Rewards team distribution list in coordination with HR
- Maintains Teams channels for Global Rewards team and Global Rewards Leadership Team
- Periodically assists in coordinating travel for members of the Global Rewards Leadership Team.
Education and Training
- Bachelor’s degree preferred.
Experience
- Demonstrated proficiency in Microsoft Office
- Must have the ability to manage diverse volume of work and manage appropriate priorities
- Able to remain extremely professional, composed, and competent in multi-task, rapid change environment
- Proven discretion with highly confidential information/documents
- Excellent written and verbal communication skills with the ability to professionally interact with all levels of the organization
- Exceptional attention to detail
- Flexibility in work schedule for crunch periods is required
