Role
A pro-active, self-motivated and highly organised individual is required to provide professional administrative support to the Civil and Environmental Engineering department, part of the school of Sustainability, Civil & Environmental Engineering.
Possessing excellent verbal and written communication skills, you will have previous experience of working in an administrative environment and ideally experience of working in the Higher Education Sector.
£13.33 per hour
18-36 hours per week negotiable and flexible. Hybrid - most work on campus with some hours working form home - to be discussed at interview.
3-6 month temporary contract.
The Administrative Assistant will provide support to the academic and research staff in the Department and manage enquiries and resource information effectively. The candidate will also provide support to the Industrial Advisory Board.
Duties and responsibilities
1.To provide administrative support to the admin team, academic and research staff in relation to admin, academic, teaching and research activities.
2.To provide support to the Industrial Advisory Board coordinator and assist with the administrative processes and facilitating the IAB meetings as requested by the Departmental Administrator
3. To raise and manage orders on Agresso – (University finance system
)4.To manage general enquiries to the admin office via email and face-to-face, covering a wide range of matters including room access, facilities issues, deliveries, administrative paperwork, expense claims etc. and to exercise initiative when dealing with confidential or sensitive enquiries.
5.In liaison with the other Department Administrators to ensure appropriate space and facilities are available for research students, staff and visitors
6.In conjunction with the other Department Administrators to assist with the organisation of seminars, workshops, meetings and forums arrangements (catering, parking permits, preparation of documents, AV set-up for hybrid meetings etc.) and ensure that meeting rooms are maintained, tidy and fully equipped as required. To maintain and update the electronic booking system for meeting rooms and loan of equipment.
7.Assisting with keeping information up to date on notice boards and sending out meeting invites for seminars and school activities.
8.To support the Head of School in administrative matters, including organising meetings, distribution of information and following up work or enquiries on their behalf.
9.To work with other admin staff to ensure continuity of functions and support.
10.To assist Head of School (HoS) & Director or Learning and Teaching (DLT) with collating information for the workload module (WLM).

Skills and experience
You will demonstrate excellent IT skills and the ability to work on your own initiative and under pressure. Excellent inter-personal skills and a flexible approach are essential together with accuracy and a keen eye for detail.
