BACKGROUND:


The Blair Partnership is a literary and entertainment agency. We offer our clients a broad range of services including rights management, client representation and franchise management. There are three core pillars to our business activity:

  • Franchise Management – which encompasses brand & franchise vision and strategy, creative strategy & direction, product development, brand management & comms for the Wizarding World franchise.
  • Client Management - we bring our clients’ stories to audiences around the world. We represent our clients’ literary and entertainment rights portfolios and pursue commercial opportunities for our clients through deal making in the UK, US and internationally, partner management and backlist rights management.
  • Governance & support - we provide governance and support to companies owned by J.K. Rowling (as well as other companies owned by Neil Blair). Those entitles include Pottermore, Bronte, HPTP, all owned by J.K. Rowling, as well as Snowed-In, a TV Production company owned by Neil. As part of that support, we cultivate close collaboration & strong, cohesive working practices between all the businesses.

OVERALL PURPOSE OF THE JOB:


The role will be responsible for managing Reception and the Kitchen Hub, being the ‘front of house’ face of the Company, presenting a professional and welcoming experience to all visitors and callers and ensuring that the office runs smoothly, is well presented and supplies are well stocked at all times .


SUMMARY OF DUTIES/RESPONSIBILITIES


OFFICE MANAGEMENT

  • Managing and logging all visitors to the office, meeting & greeting, signing them in and out, arranging drinks
  • Answering the main office number, directing & transferring calls, taking messages
  • Handling deliveries and post, distributing as appropriate, handling out-going mail & couriers, taking post to the Post Office
  • Managing meeting room bookings, assisting in the booking process if required
  • Maintaining the Kitchen Hub and making refreshments for guests when requested.
  • Responsible for catering and refreshments for business meetings, staff and visitor events
  • Provide administrative and general support to the Facilities and Office Manager in ensuring compliance with Health and Safety Regulations
  • Managing schedule for weekly onsite subsidised massages for staff.
  • Manage all food, beverage, hygiene & stationery supplies, ensuring that stock levels are proactively managed and deliveries processed efficiently and autonomously
  • Support Facilities & Office Manager on any office tidy ups/ office improvements
  • Ensure the office remains clean, presentable, safe & welcoming at all times – overseeing décor, tidiness of all common areas eg library, kitchen, reception area
  • Operate Front of House, posted at front desk
  • Man the Main Office Phone Line

TALENT SUPPORT

  • Providing admin support to Senior Talent Manager
  • Scheduling interviews for prospective candidates
  • Sending out interview confirmations
  • Sending out NDAs and ensuring return
  • Supporting with coordination of work experience programmes


AGENCY SUPPORT

  • Reading new book submissions
  • Providing feedback and recommendations to Agents on potential submissions to pursue.
