Calex is a specialist training and consultancy organisation contracted to several market-leading automotive manufacturers. We are currently seeking to recruit a Front of House Administrator to join the Calex Training Academy team based at our state of the art training centre in Slough working with one of our top prestige brands.
This role will report directly into the Programme Manager and the successful candidate will play a key role in delivering an exceptional experience for each one of our delegates who attend training at our Slough Centre. The successful candidate will be responsible for the delivery of all front-of-house and reception duties, including welcoming delegates and visitors, administering the sign-in/out process, ensuring that high levels of housekeeping and health and safety are maintained, as well as undertaking several key administration activities linked to apprenticeship programme.
The administration functions for the Academy to support the Apprenticeship Programme which include the following:
- To be one of the main points of contact for Apprentices, Employers and Parents for all training, hotel and logistic requirements.
Some these duties include
- · Course joining instructions and delegate lists for training
- · Accommodation bookings & Transportation bookings if required
- · Scheduling and booking of training rooms
- · Support for Apprentice ePortfolio Administration
- · Support programme manager with new apprentice enrolments / documentations and support induction days
- · Assist with any incidents and feedback received on the apprenticeship programme
- · Support / Manage all hotel incidents and feedback and where requested by a manager carry out hotel visits
- · Provide any adhoc administration function as required by the apprenticeship programme, client and Calex UK
The successful individual will be highly organised with an excellent eye for detail. They will possess exceptional customer service skills, and ideally have previous experience gained in a similar role.
The Academy is responsible for delivering high end training for our prestige brand & client to retailers staff, which includes Automotive Service Technicians and Apprentices and Senior Managers and Aftersales Service and Parts Training.
Main duties and responsibilities:
- Meet and greet delegates and visitors in a professional, courteous, and positive way
- Manage the arrival of all delegates and visitors ensuring that they arrive at their intended destination (e.g. training/classroom, meeting etc) – Control access to the main building in line with policy and procedure
- Manage waiting and reception areas to a high level, compliant with all health and safety policies and procedures, as well as stated visual standards
- Work with the Training and Administration teams to respond proactively to non-attendance, and communicate with affected Retailers, and Apprentices
- Deal with queries from apprentice/visitors as they arrive at the reception desk in a professional and proactive manner
- Provide a consistent high level of customer service at all times by phone, email, and in person
- Actively follow and support company policy and best practice including security, with particular emphasis on protection of learner and customer sensitive information
- Follow all Safeguarding and Prevent policies and procedures, and work with the DSL to maintain CPD
- Actively promote equal opportunities and diversity in accordance with our policy
- Promote a safe working environment in accordance with policies, and current legislation
- Provide additional administrative, and training support as determined necessary by brand and or Calex
Essential Personal Qualities, Qualifications & Skills:
- Previous experience in a Front-of-House / Reception role (Desirable) or Administration experience
- Have an outgoing, enthusiastic, and confident personality, with a desire to engage with people
- Be able to demonstrate exceptional customer service (including past experience)
- Strong communication (written & verbal) and organisational skills
- Excellent time management
- The ability to communicate with a variety of people within a fast-paced environment
- Maintain a professional manner at all times
- Demonstrate a pro-active ‘can-do’ attitude
- Good attention to detail
- A proficient user of Microsoft Office packages, particularly Word, Outlook, PowerPoint, and Excel
- Experience of using a Learning Management system (Desirable)
- Previous experience within a learning and development department (Desirable)

Salary: Up to £27k depending on experience
Employment Status: Full time, 40 hours per week. Monday to Friday.
