The position of Finance & Systems Executive will take full responsibility for the Expenses and Systems processing requirements at Mindshare Worldwide. Working alongside the AP team, the role will ensure best practice and SOX requirements are followed at all times. The role also requires regular communication with stakeholders across the business and at all levels, providing swift support so the business has the correct access to continue working. The AP Manager will provide full support in achieving the objectives of the role.
Responsibilities
Expenses
- Ensuring that all the expenses claimed are inline with the company guidelines.
- Using the accounting system and banking system to set up all payments for employee expenses including posting the cash payment when the money leaves the account.
- Provide a quarterly expense reconciliation for senior staff to GroupM Global CFO
- Monthly review of aged creditor employee accounts to ensure that all queried expenses are investigated and resolved.
Systems
- Be the ‘Face of Finance’ and first point of contact for any queries across the business
- Manage systems access requests including: New Joiners, Leavers, Approver changes and security access changes as well as client access.
- Ensure all changes are processed in a timely manner and inline with SOX control requirements
- Download monthly system reports for review by the Financial Controller
Other
- Work with the Financial Controller and Finance Director to make sure all timesheets across the business are up to date and any issues with access etc. are resolved
- Provide back up for the other members of the Payables team when they are on annual leave etc.
- Other adhoc tasks from time to time.
