Finance Manager
1. Purpose
The Finance Manager is responsible for leading the financial management of a small business and providing financial reports to the Directors as required. They play a crucial role in ensuring the efficient and effective management of the company's finances and improving its financial performance.
2. Principal Accountabilities
The Finance Manager is accountable for, but not limited to, the following:
Financial Operations and Reporting:
a. Oversee the day-to-day financial operations of the business, including monthly accounts, budgeting, forecasting, reporting, and payroll.
b. Review financial data and prepare monthly management accounts, ensuring accuracy and timeliness.
c. Collaborate with external accountants to facilitate the completion of year-end accounts.
d. Develop and implement systems and procedures to enhance the efficiency and effectiveness of financial management.
e. Identify areas for improvement in financial performance and recommend necessary changes.
f. Ensure compliance with financial regulations and legislation.
g. Demonstrate proficiency in using SAGE accounting software.
h. Liaise regularly with the internal commercial department to monitor budget control and financial performance.
i. Possess an understanding of Construction Industry Scheme (CIS) payments.
3. Detailed Responsibilities
The Finance Manager is responsible for, but not limited to, the following:
Accounting:
a. Prepare and maintain accounts with use of Sage accounting software package, including monthly bank account reconciliation, trial balance processing, and protection of monthly management accounts for review by Directors.
b. Input supplier and customer invoices accurately and reconcile supplier and customer accounts.
c. Generate and deliver customer invoices and raise purchase orders as required.
d. Check and reconcile goods received notes (GRNs) to purchase orders.
e. Chase late payments from customers and ensure prompt resolution.
f. Organise the renewal of utility service contracts.
g. Present monthly finance reports to the Directors.
VAT and Payroll:
a. Process quarterly VAT returns and submit them to HMRC (Her Majesty's Revenue and Customs).
b. Manage payment of VAT liabilities.
c. With aid of the finance assistant, process monthly payroll, including submitting payroll reports to HMRC, paying employee expenses, and ensuring compliance with PAYE (Pay As You Earn) requirements.
d. Submit monthly CIS returns to HMRC and process year-end submissions and forms.
e. Distribute P60s to employees and claim CIS deductions from HMRC annually.
f. Upload pension contributions to the pension provider and monitor employee enrolment in the Government Pension Scheme.
g. Issue P45s when required and perform monthly reconciliation of payroll control accounts.
4. Required experience, knowledge, qualifications, and training
a. Proven experience in a finance management role, preferably within a small company.
b. Strong knowledge of financial operations, including budgeting, forecasting, and reporting.
c. Proficiency in using accounting software such as SAGE Professional.
d. Solid understanding of financial regulations, legislation, and tax requirements in the UK.
5. Desirable experience, qualifications, and training
a. Relevant professional qualification (e.g., ACCA, CIMA, ACA).
b. Experience working with small businesses and familiarity with their specific financial challenges.
c. Knowledge of UK payroll regulations and experience with payroll processing.
d. Familiarity with the intricacies of VAT and CIS within the construction industry.
e. Experience in implementing financial systems or process improvements.
f. Strong analytical and problem-solving skills.
g. Excellent communication and interpersonal skills.
