St. Albert Public Schools is currently recruiting a Full Time, Probationary, Transportation/Finance Assistant for a work assignment at Division Office in Transportation.
More than 9000 students are enrolled in St. Albert Public Schools. From Preschool to Grade 12, our students learn and succeed in programs that are recognized for excellence and their focus on citizenship and sound values. Hours of Work: 35.0 hrs. /week; 7.0 hrs. /day; Monday-Friday; Full Time Probationary
(0.8 Transportation + 0.2 Finance)
Hourly Rate: $25.93 per hour, as per the CUPE Collective Agreement

BASIC FUNCTION
- When reporting to the Manager, Transportation Services, the Transportation / Finance Assistant will maintain computerized transportation software and perform other duties required for the smooth operation of the transportation department on a daily basis. Responsibilities include (but are not limited to) routing, scheduling, bus pass distribution, fee collection / reconciliation and customer service.
- When reporting to the Assistant Secretary-Treasurer, the Transportation / Finance Assistant will be responsible for the processing of accounts payable and payments, checking data accuracy, purchasing card reconciliations and other related duties as assigned.
- To assist the Manager, Transportation Services with the day-to-day operations in transportation including bus pass payment processes, route system monitoring, administrative assistant functions, filing and communications with parents, principals and carriers.
- To perform accounts payable functions accurately and timely ensuring proper documentation and authority for expenditures in respect to purchasing cards, invoices and expense claims.Coverage for payment processing.

- Reports to the Manager, Transportation Services and the Assistant Secretary-Treasurer.

EDUCATION, EXPERIENCE & SKILL SET
- Completion of Grade 12, supplemented by related post-secondary education.
- Strong interpersonal, organizational, problem-solving and communication skills.
- Proficient in the use of:spreadsheet, word-processing, database, route mapping software, accounting software, Rycor payment software and email.
- Excellent grammar and writing skills.
- Confidentiality is of utmost importance.
- Experience with high volumes of data entry.
- Ideally, a minimum of two years related experience in transportation or finance.
- School jurisdiction experience is desirable.
- Experience with the Bus Planner transportation system or the Atrieve financial software would be an asset.
- Conflict resolution skills.
- Driver’s license and vehicle required.
RESPONSIBILITIES
- Process bus pass transactions (including debit and credit card payments), issue receipts and prepare related documents within a fast-paced computerized environment.
- Respond to concerns and inquiries in a professional and courteous manner in regards to student transportation (including dealing with challenging situations at times) and maintaining a positive image of the division.
- Assist with daily scheduling of the division transportation system and issuing delays/alerts.
- Assist with adjustments to routes.
- Assist with newsletters, First Riders Night and Kindergarten Fair (an afternoon/evening safety program for first time kindergarten children) and standard communications.
- Input computer data related to transported students utilizing the Bus Planner.
- Assist with administrative functions for transportation services.
- Perform accounts payable functions within Atrieve financial software including but not limited to:forwarding invoices to sites, processing invoices and expense claims, assigning vendor numbers, filing accounts payable documentation and communication with accounting administrative assistants.
- Ensures a proper authorization for payment, reasonableness of account coding and proper application for GST.
- Assist with (and complete as a relief function) payment processes.
- Assists with daily banking by writing receipts and making deposits.
- Switchboard relief.
- Undertake other related duties as assigned.
- Processing incoming and outgoing mail.
