Job description
Key Purpose
To effectively provide support with the day-to-day financial needs of the business, keeping records up to date.
Key responsibilities
1. Finance support
a. As instructed to do so, process invoices and follow up with clients, suppliers and partners.
b. Track and reconcile bank statements as required.
c. Follow up with Residents, appointees, social service or CHC for accounts receivable as required.
d. Process tax payments as required.
e. Update financial spreadsheets with daily transactions as required.
f. Create cost analysis reports and Management information Reports as required by the Finance Manager.
g. Support the monthly payroll process as required.
h. Record accounts payable and accounts receivable
i. Provide administrative support during budget preparation.
j. Participate in quarterly and annual audits.
k. Provide support during transition of accounting and payroll systems.
l. Maintain the Petty Cash records on regular basis as required.
m. Maintain the records of Personal expenses of the Clients and reconcile the statements.
n. Depositing cheques in the Bank as required.
o. Assisting in scanning and filing of documents
p. Stock taking as required.
q. Control or physical inspection of Fixed asset as required.
r. Supporting the updating the various finance systems as required.
2. Residents
a. Always maintain confidentiality in line with the Data Protection Act 1998 and the General Data Protection Regulation ((EU) 2016/679) (GDPR);
b. Liaise with residents or their family members to discuss financial matters as required;
c. Liaise with Local Authorities and the NHS on financial matters as required;
d. Enter new resident’s details on to the Coolcare System as required.
e. Always behave professionally whilst on Rusthall Lodge Business.
f. Always adhere to Rusthall Lodge principles and values.
4. General
a. Participate in training programmes relating to your own professional requirements;
b. Complete mandatory training as required;
c. Attend all meetings as required;
d. Keep updated and comply with Rusthall Lodge policies and procedures;
e. Comply with Rusthall Lodge’s Policies and Procedures;
f. Take care of own health and safety and that of others who may be affected by your actions at work, which may include other staff members, residents and visitors;
g. Co-operate with the management team and co-workers to help everyone meet their legal requirements related to health and safety. Raise with the management team any specific queries or concerns relating to health and safety and support them to address health and safety issues;
h. Undertake such other tasks and duties as may be required.
5. Requirements and skills
a. Basic academic experience in field of accounting and HR.
b. Basic knowledge of accounting and bookkeeping procedures
c. Basic MS Excel skills (creating spreadsheets and using financial functions)
d. Familiarity with accounting software (e.g. Sage or Xero)
e. Organisational and time-management skills
f. Attention to detail, with an ability to spot numerical errors.
g. To be able to work in a team and driving your strength to success of the Finance Team and organisation.
