Job purpose
The Finance Assistant is a vital part of the Commercial team managing and maintaining the whole accounts payable function of the company.
Key responsibilities include:
- Updating the bank rec on a weekly basis and post receipts & payments accordingly;
- Maintain and monitor all aspects of the purchase ledger including managing the AP inbox;
- Process payments runs on a timely basis;
- Manage supplier and internal AP queries in a timely manner;
- Process and validate all expenses, both internal and field staff. Ensure they are paid on a prompt basis;
- Reconcile & process credit and cash card expenses;
- Monitor and pay promotional staff floats;
- New starter introduction for PO’s and expenses;
- Support in credit control of outstanding invoices;
- Support the team during the annual audit;
In addition to your finance duties, you will also be responsible for general office duties such as:
- Point of contact for all head office suppliers
- Ordering stationary & office equipment
- Monthly IT mailbox review
- Liaising with our mobile provider on staff phone issues/contracts
- Liaising with IT provider for replacement devices/equipment for staff
- Raising PO’s & adding expense lines for head office invoices
- Ad hoc requests as required
Accountabilities:
Treat Every Pound As Your Own
- Maintenance of the AP ledger making sure there are no write offs.
- Weekly bank rec highlighting any issues/problems.
- Critical eye on expenses and credit card and highlighting any issues.
- Deal with all areas on a timely basis to minimise losses & increase profits;
- Ensure all payments made are accurate;
- Manage supplier payments to optimise cashflow;
- Highlight pressures on cashflow within the cashflow forecast;

Be The Expert In Our Field
- Becoming the main AP contact in the commercial team.
- Becoming an expert on Paprika
- Assist Financial Controller to ensure that all departments have the necessary financial information and knowledge – be seen as a leader in finance areas.
- Show an ability to make appropriate decisions
- Previous experience in a similar role
- Attention to detail with a strong control mindset
- Ability to work and effectively communicate with all levels of the business
- Good commercial awareness
- Good Knowledge of Paprika (not essential)
- Strong demonstrated use of Excel, Word, and PowerPoint
