Key responsibilities
- Ensuring the complete and accurate bookkeeping of all DMI’s sales and purchase transactions and updating the accounting software in a timely manner. This includes accounts payable, accounts receivable, cash accounts, and payroll, with all transactions documented appropriately and relevant accounts reconciled each month
- Setting up UK and international payment runs, ensuring every invoice meets procurement rules, has been authorised in line with the delegated financial authority and agrees with contractual stipulations. This involves recording all payments and their due diligence in MS Excel
- Reviewing and processing employee and directors’ staff expenses reimbursement forms in line with DMI’s expenses policy
- Assisting with DMI’s banking operations, including producing regular treasury reports, managing the UK petty cash and reconciling accounts
- Ensuring that DMI complies with all relevant financial legislation in the UK and any relevant legislation in the countries where DMI operates. This includes supporting the preparation of VAT returns
- Supporting the preparation of donor reports, ensuring that expenditure is properly incurred and reported in line with donor stipulations
- Updating all relevant DMI operational trackers with information on sales and purchases to inform various stakeholders within the business
- Other tasks as required by DMI.
Person specification
Essential knowledge, skills, and experience
- Minimum of 1-2 years’ experience in a similar role, or equivalent qualifications / vocational training. The ideal candidate will be working towards their AAT qualification.
- Competent to advanced level in Microsoft Excel and comfortable with other routine office software. The successful applicant will be expected to be able to learn how to use financial software (DMI uses QuickBooks)
- Strong intellectual ability, with the capacity to flexibly manage multiple tasks / priorities.
- Excellent communication and interpersonal skills
- The ability to demonstrate high levels of professionalism at all times
Desirable knowledge, skills, and experience
- Language ability in French or Portuguese or other major global language, both written and spoken
- Experience of working with geographically displaced colleagues (ideally internationally) – this could be in a volunteer capacity
- Experience of working or volunteering in the NGO/international development sector and ensuring compliance with International donors’ requirements
