Title: Finance and Administration Officer
Term: Permanent
Hours: 30 hours to 37.5 hours per week (0.8 to 1.0 FTE)
Salary: £24,000 to £26,000 pro rata
Location: Homebased - Staffordshire/Stoke-0n-Trent

About Air Ambulances UK (AAUK)
AAUK is the national charity supporting the lifesaving work of the UK’s air ambulance charities, enabling them to save even more lives every day. We champion, support, and represent the vital work of air ambulance charities enabling them to save even more lives and improve patient outcomes everyday across the UK.
AAUK is seeking a self-motivated Finance and Administration Officer to join us at an exciting time whilst we continue to deliver our five-year strategy ‘Saving More Lives Together 2021-2025’.
Duties to include:
- Primary contact for all finance enquiries and carrying out the tasks required in line with procedures
- Work with the finance colleagues to process invoices
- Process sales invoices and purchase orders, including quarterly reviews
- Process staff expenses to ensure payment is made in a timely manner
- Reconciliation of bank statements, cash books, donation reports, CRM uploads, weekly creditors report, credit card statements and direct debit reports
- Responsible for donation data uploads onto the CRM (Donorfy) from fundraising platforms which include Enthuse, Charities Trust, CAF and MuchLoved and associated tasks
- Update financial spreadsheets as required
- Identify and address account discrepancies
- Maintain all financial records
- Participate in meetings and provide support as needed
- Undertake an annual review of Suppliers and ensure all details are correct
- Participate in audits
- Be responsible for the procurement of UK office supplies and equipment
- Arrange and support on all staff travel, including flight and hotel bookings, visas, expense reimbursements and creating trip budgets
- Be responsible for the employee onboarding process to make sure that they supply all relevant information and that everything is setup for them upon arrival
- Be responsible for making sure that all relevant staff information is recorded and kept up to date in both electronic form and in hard format within their personnel files
- Liaise with insurance providers to make sure company details are up to date, information is supplied for renewal quotations as appropriate, and to process any necessary claims
- Create and maintain a filing structure for all contractual documents that is transparent and easily accessible
- Minute taking the staff meeting and other meetings as the need arises
- Manage the Office phone landline
- Other ad-hoc administrative duties as they may arise
We are looking for the right candidate to grow and learn with us. Skills required to be considered for this role:
- Experience as a Finance Assistant or similar
- Part completion of an accounting qualification is desirable
- Knowledge of accounting and bookkeeping procedures
- Experience of Microsoft Excel
- Experience of SAGE and XERO is desirable
- Experience of working with CRM databases
- A desire to work within a varied role
