Utopian Recruitment are delighted to be working with a prestigious client based in Ballymena. As a key member of a high performing team, operating in a competitive, commercial environment, we are seeking an EXPERIENCED, ENTHUSIASTIC AND SELF-MOTIVATED INDIVIDUAL WITH RELEVANT OFFICE ADMINISTRATIVE EXPERIENCE to join our existing team in our Southwest Region. Based out of our Ballymena office, you will be working alongside our Ballymena Technical team, providing a professional and confidential administrative service.
Your main responsibilities will include:
- Customer Care – a professional and courteous manner required when dealing with all internal and external contacts.
- Secretarial Support – Providing support to Director, Senior Manager and Technical Teams
- Finance Administration – Responsible for accurate record keeping of key documents. Maintaining stationery, equipment supplies and other office sundries, ensuring office is kept in a tidy and professional state.
- Data Protection – Responsible for respecting client and staff confidentiality and dealing with customers and staff matters with professionalism and integrity.
- Office and Company Procedures – Ensuring that the IMS system is always kept fully up to date.
- Local Office Facilities Management – health and safety compliance in office environment, Quality and Environmental Management systems compliance, dissemination of technical information.
- Management Support – Accurate relaying of messages, Travel, and accommodation arrangements
To be considered for this role you must have:
- Previous finance administrative experience, ideally in a similar background
- Experience of financial/accounting processes would be an advantage.
- The ideal candidate will also have experience of facilities management/health & safety procedures; however, training can be provided to the successful candidate.
- The successful candidate must be comfortable to work on your own and have the initiative to provide strong support.
- Being proactive and upbeat in your approach with a strong work ethic and working as part of a team is also a pre-requisite of the role.
- It is essential that you are competent in the use of Microsoft Office applications, specifically Word, Excel and Outlook and have strong interpersonal skills. You will be trained in the specific company systems.
- You should be able to demonstrate excellent communication and organisational skills at all levels and should also be able to manage and prioritise a varied administrative workload.
